We are a non-governmental, non-profit, non-political organisation established in 2019. We conduct public health research and programs to improve the health of the population in Nepal, in collaboration with the universities from Europe and the USA. As part of our commitment to excellence, we seek qualified and motivated individuals to join our team in the different positions listed below.

1) Position: Administrative Assistant

Location: Naya Thimi, Bhaktapur

Type: Full Time

Number: 1

Required: Immediately

Commitment period: Minimum two years

Qualifications and Skills:

Education: Higher Secondary (10+2) or equivalent completed.

Experience: Prior experience as an Administrative Assistant or in a similar role.

Skills: 

  • Excellent organisational and multitasking abilities.
  • Strong written and verbal communication skills
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office management systems and procedures.
  • Attention to detail and problem-solving skills.
  • High level of professionalism and confidentiality.

Key Responsibilities:

  • Oversee daily administrative functions to ensure efficient office operations.
  • Manage and maintain office supplies and inventory.
  • Maintain and organize project documentation, ensuring accurate record-keeping and compliance with project requirements.
  • Coordinate and support the organization and logistics of project events, field works, workshops, and meetings, and travel arrangements.
  • Prepare, edit, and distribute correspondence, reports, and presentations.
  • Maintain and organise filing systems, both electronic and physical.
  • Handle incoming and outgoing communications, including emails, and phone calls.
  • Assist in budget preparation and expense tracking. Assist in the preparation and monitoring of project budgets, tracking expenses, and processing invoices.
  • Liaise with internal and external stakeholders, providing information and support as needed.
  • Support HR functions, including recruitment, onboarding, and employee record maintenance.
  • Ensure compliance with organisational policies and procedures.
  • Perform other administrative tasks as required to support the team.
  • Assist Finance team which includes duties, but not limited to, visit banks for deposits, prepare vouchers, filing, and facilitate in settlement of advances

2) Position: Finance Officer

Location: Naya Thimi, Bhaktapur

Type: Full Time

Commitment period: Minimum two years

Qualifications and skills:

  • Education: Bachelor’s degree in Finance, Accounting, Business Administration, or a related field. (Master’s degree preferred)
  • Experience: A minimum of two years of proven experience in accounting and financial management.  (Foreign grants management experience preferred)

Skills:

  • Strong Knowledge of accounting principles and financial reporting. 
  • Proficient in Microsoft Office suite and financial software. 
  • Excellent organisational and multitasking abilities.
  • Proficient in spoken and written English and Nepali, including documentation skills.
  • Strong attention to detail and accuracy.
  • Effective communication and interpersonal skills.

Key Responsibilities

Financial Management:

  • Prepare and analyze monthly, quarterly, and annual financial reports.
  • Develop and manage budgets, including forecasting and variance analysis.
  • Ensure compliance with financial regulations and standards.
  • Oversee accounts payable and receivable functions.
  • Coordinate with external auditors and prepare necessary documentation for audits.
  • Provide financial analysis and advice to support strategic decision-making.
  • Manage cash flow and financial planning.
  • Implement and maintain financial policies and procedures.
  • Assist in the preparation of grant applications and financial reports for funding agencies.
  • Conduct internal financial audits and implement corrective actions where necessary.
  • Daily Financial activities (voucher preparation, petty cash handling, journal, ledger, reconciliation)
  • Bookkeeping on a regular basis
  • Review and verify financial documents, agreement, invoices and any other supporting documentation
  • Process payments to vendors
  • Prepare and file/submit monthly TDS, ETDS to Inland Revenue Office.
  • Deposit cheques and carry out bank reconciliation in a timely manner
  • Prepare Payroll and carry out procurement as needed
  • Any other financial tasks as assigned by the supervisor 

Human Resource Support:

  • Collaborate with project coordinators to identify staffing needs and develop job descriptions for research project positions.
  • Coordinate recruitment efforts, including advertising openings, screening resumes, and conducting interviews.
  • Assist in the selection process by evaluating candidates' qualifications and fit for the project.
  • Maintain accurate and up-to-date HR records, including personnel files, timesheets, and other relevant documentation.
  • Process payroll and ensure timely and accurate payment to project staff under project budgets and funding requirements.
  • Handle administrative tasks related to HR operations, such as benefits administration, leave management, and employee communications

Admin Support:

  • Liaise with internal and external stakeholders.
  • Communicate financial information effectively with funding agencies
  • Collaborate with team members to achieve organisational goals. 
  • Perform other administrative tasks as required to support the team in a timely manner

3) Field Supervisor

Location: Sindhupalchowk

Type: Full Time

Number: 3

Commitment period: One year

Qualifications:

Education: Minimum Health Assistant or PCL staff nurse

Experience: Prior experience in fieldwork, preferably in health, social services, or development projects

Skills:

  • Excellent interpersonal, organisational, communication, team building, management, and problem-solving skills.
  • Excellent oral and written English and Nepali, including documentation skills; sound knowledge of Tamang language preferred.
  • Strong team motivation, strategic thinking, and analytical skills.
  • Strong attention to detail and accuracy.
  • Ability to work under pressure and meet project deadlines.

Responsibilities:

  • Coordinate and oversee the regular field operations and meetings to ensure compliance with standard protocol
  • Maintain accurate records of field activities including meeting minutes/ notes, daily reports, and timesheets.
  • Participate in program-related meetings, and workshops as required.
  • Conduct quality control checks to ensure data integrity and compliance with established protocols.
  • Conduct regular team meetings to discuss project progress, address issues, and provide guidance.
  • Prepare and submit regular reports and maintain effective communication with project managers.
  • Ensure compliance with ethical standards and data confidentiality.
