Background
The Story Kitchen (TSK) is a not-for-profit-distributing company registered in September 2012 under the Companies Act, 2006 Nepal. TSK is looking for the suitable candidates to hold the position of Senior Finance Officer. The selected candidates will work closely under the guidance of the Finance, Administration and HR Coordinator. A) Major Responsibilities
In close coordination with and strategic guidance from the Finance, Administration and HR Coordinator (FAHRC), the Senior Finance Officer (SFO) will be responsible for performing the core responsibilities on financial management, accounting and support on administration management to maintain transparent, accountable and responsible internal control systems within the organization. SFO will work closely with FAHRC, Program Lead, and the Senior Management Team to implement financial and administrative planning. Below are the detailed responsibilities:
Key Responsibilities on Accounting and Financial Management
- Review and verification of supporting documents for financial transactions in line with organizational and donor requirements. Follow up and remind concerned persons/parties to get advance settlement document and obtain complete documents if there is incomplete supporting document received.
- Ensure all financial documents have been approved and be responsible for journal entries in accounting software (FAMAS) assuring correct budget line and expenditure ledger in all projects. Manage accounting setup for new projects in accounting software.
- Ensure all vouchers are supported adequately accordance with relevant TSK’s regulations and approved plans/budget before making payment to suppliers/vendors, service providers and associated contractors.
- Responsible for issuing cheque, issuing bank transfer/deposit letter, initiate to obtain signature from signatories. Work as a custodian of cheque books for projects as well as organizational core accounts, deal with banks in terms of financial transactions if any.
- Responsible for budget entry in FAMAS and regularly monitor and track expenditures against the approved budget to ensure that spending is within the allocated limits.
- Prepare employee salary sheet aligning with time-sheet and proceed for deposit within stipulated timeline. Maintain payroll records for auditing and compliance with labor laws and tax regulations.
- Ensure that bank reconciliation as well as accounts payable/receivable including staff advance are settled or reconciled in monthly basis and monitor the petty cash day book.
- Preparation of cost-sharing allocations for consumables, office rent, and other shared expenses based on common cost sharing policy as well as available budget in the project and organization.
- Preparation of financial reports for all projects as well as organization’s core accounts and forward to FAHRC for reviewing and finalization process. Support to analyze budget expenditure burn rate, and inform supervisor as well as program team for further needful decision-making process.
- Ensure timely deposit of Tax, verification of paid tax, manage e-portal of tax and tax reconciliations for all projects.
- Deposit employee Provident Fund and CIT in monthly basis and online entry for further processing it.
- Perform tracking and management of payments to vendors, office rent, and CMS payments (recurring nature).
- Ensure the financial documents are filed/stored (project-wise filing, indexing) in well-organized way on physical and digital archiving.
- Preparation of audit-related documents and coordination for project and annual financial audits (internal, external and statutory audits).
Coordination and support
- Coordinate with program team for sharing the minimum requirement of the financial documents to be documented during workshops, travel arrangement, per diem and other payments and provide necessary support in need basis.
- Coordinate and schedule for obtaining signatures from other authorized signatories.
- In absence of administrative support staff, SFO need to visit bank for depositing cheque and other related work and also, need to handle the petty cash fund in absence of petty cash fund holder.
- In absence of other team members of Finance and Admin. unit, SFO should perform the tasks in need basis.
- Need to support program team for budget preparation process to provide technical input on budgeting, formatting for new financial proposal and support to work out on periodical budget forecasting and planning.
Required Education and Experience
- A minimum of a Bachelor's degree in Business Administration from a recognized university, with at least three (3) years of relevant work experience, or a Master's degree with one year of experience.
- Proven experience in managing accounts and finances for national-level NGOs/INGOs.
- Experience of working in development projects, organizational management including budgeting and experience with accounting software such as FAMAS.
- Communication skills in both English and Nepali.
- Should have problem-solving abilities, friendly and supportive in assisting with any organizational tasks as needed.
- Time management skills, with the ability to handle multiple tasks efficiently.
- Ability to work effectively in a multicultural environment and build strong, collaborative relationships both internally and externally.
- Other relevant skills like IT Skills and MS Office applications including excel.
