Admin & Finance Officer
REPORTS TO Admin & Finance Manager
EFFECTIVE FROM-TO 01/06/2026 to 31/12/2026
The Admin & Finance Officer is responsible for supporting the organization in day-to-day financial, administrative, and operational functions of projects and the central office. The position assists in accounting, documentation, financial transactions, logistics coordination, reporting, compliance, and administrative support in accordance with organizational policies, donor requirements, and government regulations.
The position requires a motivated and detail-oriented professional with at least 2 years of experience in accounting, finance, NGO operations, or auditing-related work.
MAJOR DUTIES & RESPONSIBILITIES
A. Administration Responsibilities
- Support the maintenance and updating of fixed assets and inventory records of projects and the organization.
- Conduct periodic inventory and asset verification.
- Support procurement, logistics, and supply management activities as per organizational procedures.
- Coordinate office administration and filing/documentation systems.
- Assist in SWC related work
- Assist in organizing meetings, workshops, training, and field visits.
- Coordinate travel arrangements, accommodation, and logistics for staff and consultants.
- Support policy orientation and administrative compliance for staff as required.
- Carry out other administration-related assignments provided by the supervisor.
B. Finance & Accounting Responsibilities
- Accounting and reporting of projects as per the guidelines and format provided by the partner Organization in coordination with the finance manager.
- Review and check the reimbursement/settlement requests of staff, vendors, and consultants.
- Follow the organization and partner’s policies and guidelines to ensure compliance with all the requirement and necessary documents for financial transactions.
- Prepare vouchers and maintain systematic documentation on a timely basis.
- Prepare bank reconciliations statement of project account monthly.
- Handle petty cash of the project.
- Prepare and submit monthly financial reports to the finance manager on a monthly, quarterly, & Semi Annual basis.
- Timely tax deduction, tax deposit, and ETDS filing as per prevailing laws.
- Assist in budget preparation, budget tracking, and fund forecasting in coordination with supervisor.
- Support monitoring of project expenditures and budget utilization.
- Maintain proper financial documentation for audit purposes.
- Assist external and internal audits by preparing required documents and information.
- Identify documentation or accounting issues and report them to the supervisor for corrective Action.
- Maintain coordination and effective communication with project teams and finance department staff.
- Perform other finance-related duties assigned by the supervisor.
C. Compliance & Documentation
- Ensure all financial and administrative documents are complete, accurate, and properly archived.
- Maintain confidentiality of organizational and financial information.
- Support compliance with donor agreements, organizational policies, and statutory requirements.
D. Safety & Security
- Support safe handling and security of cash, financial documents, and organizational assets.
- Report potential operational or financial risks to the supervisor.
REQUIRED QUALIFICATIONS & EXPERIENCE
Education
- Bachelor’s degree in Management, Finance, Accounting, or related field.
Experience
- Minimum 2 years of professional experience in accounting, finance, NGO operations, or auditing field.
- Experience working in NGOs or audit firms will be preferred.
Required Skills & Competencies
- Basic knowledge of accounting principles and financial management.
- Familiarity with taxation, ETDS filing, and financial documentation.
- Good understanding of administrative and logistics processes.
- Proficiency in Microsoft Office Package (especially Excel and Word) and accounting software(Saralbooks, FAMAS).
- Good communication and coordination skills.
- Ability to work in a team and under pressure.
- Strong organizational and documentation skills.
- High level of honesty, integrity, and confidentiality.
