Most at-risk and disadvantaged children are provided with inclusive quality education at Kopila Valley School (KVS), one of the greenest schools in Nepal, made from the earth and nestled on a campus with a commitment to building sustainable programs. Along with lifelong gift education to the disadvantaged children, we support their family members to improve their living standards and make it sustainable through holistic programs ranging from children’s home, health and wellness through women empowerment to career guidance/counseling, and scholarships for further studies. Position Summary

The Senior HR Officer will be responsible to execute day to day HR activities and support the HR Coordinator to strengthen KVSS and Kopila Valley School (KVS) HR practices. You will also work closely with your line manager and department heads to craft and upgrade job descriptions, publish job vacancies and sourcing candidates.

The Main Responsibilities

  1. Support HR Lead on Smooth Functioning of HR Operations 
  2. Building a safe and empowering work environment for enhancing the performance of the team members. 
  3. Improve employee engagement for better outcomes by building a motivating environment.

Detailed Responsibilities

1. Support HR Lead on Smooth Functioning of HR Operations.

  • Ensure HR policies and procedures are implemented and followed.
  • Maintain HR database, attendance, leave records, and prepare monthly HR reports.
  • Draft HR-related letters, memos, and notices.
  • Support in payroll preparation by providing attendance and leave data.
  • Ensure proper documentation, filing, and confidentiality of HR records.
  • Support the recruitment process including job posting, shortlisting, scheduling interviews, and onboarding.
  • Maintain and update employee records and personnel files.
  • Enroll new employees in SSF portal and support staffs on KYC updates and shared the new amendments of SSF to all the employees.
  • Support HR Lead on Collaboratively work with team on development and implementation of HR Policies, and SOPs throughout the organization.
  • Lead the health and safety of the employees, institutionalized through policies and practices.
  • Ensure that the employees are used-to with the organizational system like HRIS, Asana, Slack, Google Platform and other management tools. 

2. Building a safe and empowering work environment for enhancing the performance of the team members.

  • Ensure staff orientation on HR policies, procedures, code of conduct, confidentiality, benefits, and disciplinary measures.
  • Support the HR Lead in managing incident reports, coordinating with relevant teams, and updating leadership as required.
  • Promote a learning culture by encouraging feedback, professional development, and growth opportunities.
  • Collaborate with the HR team in policy review, orientation programs, and staff onboarding.
  • Maintain accurate records of engagement, wellbeing, and training programs for reporting and compliance.
  • Monitor, Support and ensure compliance with organizational systems and tools, fostering effective cross-team collaboration.
  • Support change management initiatives to drive continuous improvement in organizational performance.
  • Support leadership development and succession planning initiatives.

3. Improve employee engagement for better outcomes by building a motivating environment.

  • Support the HR Lead in building an inclusive, motivating, and trustworthy work environment.
  • Design and execute creative enrichment activities that promote inclusivity, collaboration, and staff motivation.
  • Conduct periodic employee satisfaction/engagement surveys and present findings with actionable recommendations.
  • Serve as a focal point for employee relations, ensuring staff voices are heard and concerns are addressed respectfully.
  • Foster positive working relationships by promoting solution-oriented discussions.
  • Encourage regular 1:1 meeting between staff and managers; ensure timely reporting of updates and urgent issues.
  • Provide guidance and support on HR-related matters, addressing and resolving employee concerns.
  • Organize staff engagement and team-building activities to strengthen collaboration and morale.
  • Design, coordinate, and deliver capacity-building programs, workshops, and professional development opportunities.
  • Maintain a training calendar and track training effectiveness and outcomes.

Additional expectations 

  1. Demonstrate professionalism in all interactions and execution of duties including ensuring confidentiality as per the organization’s protocols.
  2. Participate in regular 1:1 meeting, and report to the manager on a weekly basis, and as needed in case of urgent activities.
  3. Build and maintain a strong relationship with the leadership team of KVSS/KVS and BlinNow Foundation to ensure the continued success of our joint projects.
  4. Attend staff meetings periodically, and share operational updates.  

REQUIREMENTS

Education

Bachelor’s degree in Human Resources Management, Business Administration, or related field (Master’s preferred).

Experience and Skills

  • Minimum 2–3 years of relevant HR experience.
  • Good understanding of Nepal Labor Laws and HR best practices.
  • Strong communication, interpersonal, and negotiation skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and HR systems.
  • Ability to handle confidential information with integrity.
  • Strong organizational and problem-solving skills.
  • Good communication skills and familiarity with the use of technology.
