Position overview:
The Finance Associate will support the overall financial management of the Khotanga Health Project in Khotang by ensuring that all financial transactions are accurately recorded, properly documented, and compliant with both organizational policies and donor requirements. The position will assist in maintaining transparency, accountability, and efficiency in financial operations throughout the project lifecycle and will work closely with the project and field teams to support effective financial management of project activities in Khotang.
Duties and Responsibilities:
- The Finance Associate will maintain complete and accurate financial records by systematically organizing vouchers, invoices, receipts, and supporting documents, ensuring that every financial transaction is properly documented and easily accessible for verification and audit purposes.
- The position requires preparing, reviewing, and processing various types of financial vouchers, including payment vouchers, journal vouchers, and bank vouchers, while ensuring that all entries are correctly coded according to the approved project budget lines and accounting system requirements.
- The Finance Associate will record all financial transactions in the designated accounting system or structured financial tracking tools such as Excel-based ledgers, ensuring that data entry is accurate, timely, and aligned with financial reporting standards.
- The role includes maintaining and regularly updating the cash book and bank book, ensuring that all cash and bank transactions are reconciled and reflected accurately in financial records.
- The Finance Associate will be responsible for assisting in the preparation of periodic financial reports, including monthly and quarterly reports, ensuring that these reports are complete, accurate, and submitted within the required timelines for both internal management and donor reporting purposes.
- The position involves coordinating with banks to carry out financial transactions such as deposits, withdrawals, and collection of bank statements, as well as preparing cheques and facilitating online payments in accordance with organizational procedures.
- The Finance Associate will perform regular bank reconciliations by comparing internal financial records with bank statements, identifying discrepancies, and taking necessary actions to resolve any inconsistencies in a timely manner.
- The role requires monitoring project expenditures against the approved budget by tracking spending patterns, identifying any variances or potential overspending, and promptly informing the concerned supervisors to ensure financial control and proper budget utilization.
- The Finance Associate will ensure that all financial transactions comply with donor guidelines, organizational financial policies, and relevant government regulations, including taxation and VAT requirements, by carefully reviewing supporting documents before processing any payments.
- The position includes supporting procurement-related financial processes by verifying documents such as purchase requests, purchase orders, goods received notes, and supplier invoices, ensuring that procurement procedures are followed correctly and payments are made only after proper authorization and documentation.
- The Finance Associate will maintain a well-organized and audit-ready filing system for all financial documents, ensuring that records are systematically stored and can be easily retrieved during internal audits, external audits, or donor reviews.
- The role involves preparing necessary documentation and providing support during internal and external audits, including responding to audit queries, clarifying financial records, and ensuring that all required documents are readily available and properly organized.
- The Finance Associate will coordinate closely with program staff, administrative staff, and field teams to ensure smooth financial operations, provide necessary guidance on financial procedures, and facilitate effective communication between finance and non-finance departments.
- The position requires ensuring compliance with Nepal’s financial regulations by managing tax-related responsibilities such as Tax Deducted at Source (TDS), VAT documentation, and maintaining accurate tax records to support timely and correct reporting.
Required Qualifications and Experience
- The candidate must hold at least a Bachelor’s degree in Finance, Accounting, Business Administration, or a related field, with preference given to candidates who have additional academic qualifications or professional certifications in finance or accounting.
- The position requires a minimum of three years of relevant professional experience, preferably in the NGO or development sector, with demonstrated experience in handling financial documentation, reporting, and compliance in donor-funded projects.
Required Skills and Competences
- The Finance Associate must have a strong understanding of basic accounting principles, financial management practices, and budget monitoring processes, along with the ability to apply these concepts effectively in day-to-day work.
- The candidate should possess strong proficiency in Microsoft Excel and other financial tools, along with the ability to manage large volumes of data accurately and efficiently.
- The role requires excellent attention to detail, strong organizational skills, and the ability to manage multiple tasks within deadlines while maintaining high standards of accuracy and accountability.
- The candidate should demonstrate good communication and coordination skills, with the ability to work collaboratively with team members from different departments and support non-finance staff in understanding financial procedures.
Reporting Line and Working Conditions:
- The Finance Associate will report directly to the Finance Officer or Admin and Finance Manager and will work in close coordination with program teams and project staff to ensure effective financial management of project activities.
- The position is primarily based in Khotang and will require regular coordination with field/project teams and may require travel within the project area to support financial monitoring, coordination, and verification activities as needed.

- The Finance Associate will be accountable for maintaining accuracy and completeness of financial records, ensuring timely submission of financial reports, complying with all financial policies and donor requirements, and supporting transparency and accountability in project financial management.
