Vacancy for the Position of Finance and Administrative Officer

Youth-led Sexual and Reproductive Health Rights Advocacy Nepal (YoSHAN) is a feminist organization where young people, in all their diversity, thrive together to protect the right to bodily autonomy for all through discourse and action on sexuality, sexual and reproductive health rights, gender, feminism, Intersectionality, and movement building.

YoSHAN is seeking a dynamic, self-motivated, and service-oriented professional with strong management skills for the Finance and Administrative Officer position. This position will play a key role in ensuring smooth financial operations, administrative efficiency, and legal compliance, thereby enabling the organization to pursue its feminist vision with transparency and accountability.

Purpose of the Position: To oversee the daily financial, administrative, and logistical functions of the organization; support in organizing training and events; and ensure that all statutory, legal, and regulatory requirements are timely fulfilled at both national and local levels.

Key Responsibilities

A. Financial Management (Daily Operations)

  • Oversee all daily financial transactions, including receipts, payments, reimbursements, and petty cash management.
  • Maintain accurate and up-to-date financial records in compliance with the organization’s financial policies and donor requirements.
  • Prepare vouchers, financial statements, and monthly reconciliations.
  • Support in preparing budgets, financial reports, and fund requests.
  • Coordinate with banks, vendors, and service providers for financial matters.
  • Assist in internal and external audits by providing necessary documentation.

B. Administrative Support

  • Ensure smooth day-to-day administrative operations of the office.
  • Maintain and update administrative files, records, and inventory.
  • Support in staff recruitment processes, leave tracking, and HR documentation.
  • Manage correspondence, office supplies, and service contracts (rent, utilities, insurance, etc.).
  • Ensure organizational compliance with administrative and HR policies.

C. Legal and Statutory Compliance

  • Ensure the organization complies with all legal requirements, including renewal and reporting obligations.
  • Update company registration and ensure timely renewal with the relevant government authorities (Company Registrar Office, Social Welfare Council, etc.).
  • Update registration at the local government level and coordinate as required.
  • Support in maintaining up-to-date tax, PAN/VAT, and other statutory records.
  • Liaise with auditors, consultants, and legal advisors as needed.

D. Training and Logistical Support

  • Support the program team with logistical preparation and the smooth implementation of training sessions, meetings, and events (venue, travel, accommodation, materials, documentation, etc.).
  • Coordinate with program teams to ensure timely procurement and payment processes for training-related activities.

Required Qualifications and Experience

  • At least a Bachelor’s degree in Finance, Business Administration, Management, or a related field.
  • Minimum 1 year of relevant experience in finance and administration, preferably in NGOs or feminist organizations.
  • Solid understanding of financial accounting systems, Nepali tax rules, and legal compliance requirements.
  • Experience in organizing training, events, and logistics management.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and accounting software (Tally, FAMAS, or similar).
  • Strong organizational, communication, and coordination skills.
