Hami DajuVai (HDV) is a youth-led feminist organization established in 2019 dedicated to Gender Justice and engaging men and boys in gender equality. HDV works closely with ministries, local authorities, and national and international partners. HDV's key initiatives include the "Feminism and Men Conference," "weMEN Club," "School of Feminism," "Film Festival on Gender and Diversity," and the "Men and Masculinity Resource Centre."

In response to recent disasters, HDV announces a vacancy for an anticipated project which aims to engage local youth across flood-affected communities in Rasuwa, Dhading, and Nuwakot for data collection and the dissemination of critical protection and safety information. HDV invites applications from qualified candidates for the following role:

1. DESIGNATION – ADMIN AND FINANCE OFFICER

  • Monthly Salary (Gross) -  Rs. 30,000 -38,000 (based on skills and experience)
  • Travel - Frequent travel to project location

Introduction to the Role

The Admin and Finance Officer will support HDV’s Admin and Finance Coordinator and work closely with the Executive Director, project staff, and volunteers to ensure effective implementation of the organisation's financial management systems and administrative procedures. Key responsibilities include overseeing project financial operations, implementing internal controls, managing project cash flows, and ensuring timely, accurate donor reporting aligned with compliance standards. This role also oversees project-level administration, logistics, procurement, payment processing, HR record-keeping, and general office support, providing direct assistance to the Admin and Finance Coordinator as needed.

Key Responsibilities

  • Provide comprehensive administrative, financial, and accounting support to the organization.
  • Maintain project accounting and financial reporting in accordance with organizational and partner/donor guidelines.
  • Ensure full compliance with internal policies and donor regulations across all financial transactions and supporting documentation.
  • Prepare and maintain systematic administrative and financial records on time.
  • Prepare and submit monthly financial reports, expense statements, budget vs. actual analyses, and variance updates to the Admin and Finance Coordinator and Executive Director.
  • Assist in preparing project budgets and develop cash flow forecasts in coordination with project leads.
  • Efficiently manage project cash flow to maintain adequate liquidity for daily operations and vendor payments.
  • Manage procurement, logistics, and administrative support for project activities in alignment with organizational standards and timelines.
  • Maintain project records, including contracts, agreements, and official correspondence, ensuring compliance and easy retrieval.
  • Establish and maintain robust internal controls to safeguard project funds.
  • Guide project staff on donor compliance, financial guidelines, and documentation requirements.
  • Handle donor communications related to administration and financial transactions in coordination with the Admin and Finance Coordinator and Executive Director.
  • Coordinate with external stakeholders to streamline financial processes and resolve queries promptly.
  • Prepare necessary documentation and ensure complete audit readiness.
  • Perform any other relevant tasks assigned by the supervisor.

Experience Required: 

  • A Bachelor’s degree in Accounting, Finance, Business Administration or other related fields, with a minimum of 3 years of professional working experience in the admin and finance section in an NGO. Candidates currently pursuing a Bachelor’s degree may apply if they possess at least 3 years of relevant professional work experience (excluding internship experience) however, preference will be given to degree holders.
  • Experience with advanced Excel skills for financial analysis and reporting. (Preference will be given to candidates knowing Saralbooks software)
  • Good knowledge of taxation laws prevailing in Nepal.
  • Demonstrated track record of delivering high-quality reports on time.
  • Capacity to manage multiple tasks simultaneously and a high level of attention to detail in all aspects of work responsibilities.
  • Strong people-centred skills and proactive approach.

Other skills

  • Fluency in written and spoken English and Nepali.
  • Preference will be given to the person who has prior experience of working in the field of GESDI or a feminist organisation.
  • Excellent Management and written and verbal communication skills, including the ability to work with a diverse range of actors from different cultural contexts in the country.
  • Strong project administration and financial management skills.
  • Willingness to travel to the field.
  • Must have a personal laptop.
  • Having a two-wheeler with a valid driving license is an added advantage.

Duration: This is a fixed-term position for an initial period of three months, with the potential for extension subject to job performance and project continuation.
