Job Summary
Pahichan Nepal is seeking a responsible and detail-oriented Finance Assistant to support the organization’s finance and administrative functions. The Finance Assistant will work under the guidance of the Finance Officer/Manager and assist in maintaining financial records, processing payments, supporting budgeting and reporting, and ensuring compliance with organizational policies and the financial rules and regulations of Nepal. This role requires coordination with program and administrative teams to support smooth day-to-day operations.
Academic Qualification & Experience
- Bachelor’s degree in Business Studies (BBS), Business Administration (BBA), or a related field
- Minimum of 2 years of relevant experience in finance and administrative support roles, preferably in an NGO/INGO
- Basic to intermediate proficiency in Microsoft Excel, Word, and PowerPoint, and familiarity with accounting software
- Good communication skills and ability to work collaboratively in a team
- Strong attention to detail, organizational skills, and willingness to learn
Major Duties and Responsibilities
Financial Record Keeping and Documentation
- Assist in maintaining daily financial records and transactions
- Prepare vouchers and supporting documents and enter data into accounting software
- Maintain proper filing, archiving, and confidentiality of financial documents
Advance and Reconciliation Support
- Assist in tracking advances, outstanding balances, and settlements
- Support periodic bank and cash reconciliations under supervision
- Follow up with staff and project teams for timely advance settlements
Payments and Budget Support
- Assist in verifying payment requests and claims against approved budgets
- Prepare payment documents, cheques, and bank transfer requests as instructed
- Support budget tracking, expense monitoring, and basic budget forecasts
Compliance and Reporting Support
- Assist in preparing documents for tax payments and statutory compliance
- Support the preparation of basic financial reports and supplementary financial information
- Help organize financial documents for audits and internal reviews
Administrative and Coordination Support
- Provide administrative assistance related to project HR coordination and office operations
- Coordinate with program teams to collect required financial documents and information
- Participate in meetings, trainings, and internal discussions as required
Working Conditions
- Occasional travel to project sites for financial and administrative support
- Regular coordination with program staff and partner organizations at the field level
