INVITATION FOR VENDOR REGISTRATION

For Supply of Goods, Works and Services

United World Schools (UWS) Nepal invites eligible suppliers, service providers, contractors, consultants,  and  individual  professionals to  register as vendors  for the supply of goods,  works,  and services for Fiscal Year 2083/2084 B.S.

The purpose of this registration is to  establish  and update  UWS Nepal's vendor  database for  future procurement requirements. Registration in the vendor database does not guarantee invitation to bid, request for quotation (RFQ), contract award, or future business with UWS Nepal.

Categories of Goods, Works and Services:

Interested vendors may apply for one or more of the following categories:

1. Supply of office stationery, office supplies, and consumables.
2. Printing, publishing and branding services (including banners, brochures, IEC materials, calendars, diaries, certificates, and other printed materials).
3. Supply of computers, laptops, printers, photocopiers, networking equipment, and related accessories.
4. Repair and maintenance of computers, laptops, printers, and other electronic equipment.
5. Hotel, training hall, conference venue, catering and restaurant services.
6. Vehicle rental services and transportation and logistics services.
7. Insurance services for staff, vehicles, office equipment, and organizational assets.
8. Consultancy service for Photography and video production services for events.
9. Event Management services - including complete services for organizing seminars, workshops, trainings, interaction programs, and public events.

Eligibility Requirements

A. For Companies/Firms

Applicants shall submit the following documents:

• Completed Vendor Registration Form.
• Company/Firm Registration Certificate.
• PAN or VAT Registration Certificate.
• Latest Tax Clearance Certificate (FY 2081/2082 B.S.).
• Company Profile.
• Contact details of the authorized representative.
• Annex I (UWS-Supplier Registration Form) and Annex II (COI Declaration form) of this Document

B. For Individual Consultants/Service Providers

Applicants shall submit:

• Completed Vendor Registration Form.
• Copy of Citizenship Certificate.
• Updated Curriculum Vitae (CV) or Biodata.
• PAN Registration Certificate.
• Portfolio or evidence of previous relevant work (where applicable).
• Annex I (UWS-Supplier Registration Form) and Annex II (COI Declaration form) of this Document

Submission of Applications

Interested applicants may submit the completed Vendor Registration Form together with the required supporting documents through either of the following methods:

By Email: Submit your vendor registration application to procurement.nepal@uwsglobal.net with the subject line: Vendor Registration.

Or

Submit hard copies during office hours to:

Submission Deadline

Applications must be received no later than 5:00 PM on 23rd July 2026.

Applications received after the deadline may be considered only during future vendor registration updates.

General Terms and Conditions

1. Registration as a vendor does not constitute a contractual commitment by UWS Nepal.
2. UWS Nepal reserves the right to accept or reject any application without assigning any reason. 
3. UWS Nepal may request additional information or clarification from applicants during the evaluation process.
4. Vendors shall immediately notify UWS Nepal of any changes to their legal status, ownership, address or contact information.
5. Vendors may be suspended or removed from the vendor database for poor performance, fraudulent practices, corruption, conflict of interest, submission of false information, or failure to meet contractual obligations.
6. UWS Nepal follows a zero-tolerance policy towards fraud, corruption, bribery and unethical business practices.
7. Information submitted by applicants will be used solely for vendor registration and procurement purposes and will be treated confidentially.
