Admin Officer

Details / requirements:
Position: Admin Officer
Duty Station: Head Office Talchhikhel, with frequent visit to Production Unit, Jhaukhel and field trips as required
Eligibility
- Master’s degree in management or development studies with more than 5 years of general experience and 2 years of experience in the WASH sector
- Working experience with different levels of government, private sector organizations, government agencies, international NGOs, recognized non-profit organizations.
- Demonstrated ability to manage diverse and multidisciplinary groups of staff with efficiency, flexibility, and productivity.
- Fluency in Nepali and English Language

- Effective coordination and communication skills with colleagues, clients, and partners
- Proven ability to handle administrative and operational issues efficiently
- Strong problem-solving and decision-making skills
- Familiarity with ISO systems and labor regulations
- HR analysis and optimization for cost effective day to day operation of the organization
Key Responsibilities
- Monitor and manage day-to-day administrative operations
- Ensure compliance and maintenance of statutory documents
- Support budget monitoring, expenditure tracking, and documentation in coordination with Project Managers
- Manage organizational documentation, data backup, records, and insurance policies
- Supervise administrative staff and support HR functions including recruitment, orientation, attendance, and leave management
- Prepare staff, consultant, and vendor contracts and coordinate ISO and labor audits
- Coordinate and monitor ISO 9001:2015 implementation and organizational compliance
- Maintain asset registers, inventory records, and verify physical stock
- Organize and support office events, meetings, trainings, and conferences
- Update organizational policies and strengthen internal control systems
- Liaise with staff, consultants, auditors, clients, and other stakeholders
- Provide timely administrative information to management for decision-making
- Submission of monthly HR and Admin report to CEO
- Preparation of weekly progress report and presentation of same in unit head meeting.
- Support in revising the HR and Admin policies
