About the Assignment

Rolling Plans Pvt. Ltd. invites applications from qualified, competent, and motivated candidates for the position of Receptionist to be deployed at a leading International Financial Institution (IFI) and Multilateral Development Bank (MDB) committed to promoting sustainable economic growth and poverty reduction across Asia and the Pacific.

1.    JOB POSITION: RECEPTIONIST

  Key Responsibilities

  • Operate MDB telephone system, monitoring and screening all incoming telephone calls and directing them to appropriate staff through PABX.
  • Assist MDB staff and visiting HQ mission Prepares the breakdown of charges and forward to F/A unit for accounting personal calls of staff.
  •  Responsible for updating the personal telephone list and staff emergency list.
  • Prepare and updates the internal telephone directory accordingly.
  • Greet visitors and direct them to appropriate staff.
  • Ensures that all telephones lines are in working condition.
  • Reports and follow up on telephone faults for the office lines.
  • Manage incoming and outgoing mail, pouch and courier services (effective mail management).
  • Assists in registering of bid/tender documents submitted to MDB and disseminates to appropriate staff members.
  • Maintaining appropriate logs of all incoming mail.
  • Maintain neat and tidy appearance of reception and waiting areas.
  • Organize vehicle arrangement for staff and visiting mission to attend meeting as necessary.
  • Prepare the weekly pouch to be sent to the headquarter.
  • Other related responsibilities as appropriate.

 Required Qualifications and Experience

  • Bachelor's degree in related field.
  • Minimum 3 years of relevant experience.
  • Excellent verbal and written communication skills.
  • Professional appearance and demeanor.
  • Experience in front desk operations and visitor management.
  • Proficiency in MS Office and scheduling tools.

2.   JOB POSITION: ADMIN/LOGISTIC ASSISTANT

  Key Responsibilities

  • Supports liaison with government agencies to facilitate and follow up on requests for tax exemptions, duty free clearances and duty-free licenses, etc.; 
  • Supports liaison with Ministry of Foreign Affairs (MOFA), Department of Immigration and Airport Official and various Embassies in Nepal for visa procession;
  • Sends and receives facsimile documents and monitors correspondence of MDB;
  • Fleet Management: Manage all fleet operations, including vehicle maintenance, driver supervision, fuel management, utilization monitoring, and compliance with organizational policies and regulatory requirements.
  • Assists in organizing events by arranging venues, extending invitations to speakers and participants, and preparing (photocopies and binding) resource materials;
  • Assists in MDB fleet management, drafts regular type of letters;
  • Assists the F&A team;
  • Assists in delivery of official mail and regular pouch to HQ;
  • Performs any other duties as may be required, such as retrieving files/documents for preparation of reports, preparing tables and charts for reports, assisting MDB visiting missions, and other routine office administrative functions.
  • Other related responsibilities as appropriate.

 Required Qualifications and Experience

  • Bachelor's degree in related field.
  • Minimum 3 years of relevant experience.  Knowledge of inventory management and logistics coordination.
  • Experience in supporting fleet management, travel arrangements, meetings, and documentation.
  • Familiarity with office systems and record-keeping.
    

3.    JOB POSITION: DRIVER

 Key Responsibilities

  • Provide efficient and safe transport service to bank personnel and official guests to specified destinations, including field visit in MDB’s official vehicle.
  • Maintain logbook for assigned vehicle to record details of mileage trips, purchase of gasoline, oil and repair and servicing activities.
  • Maintain assigned vehicle in clean and good operating conditions.
  • Coordinate and maintain proper maintenance of assigned vehicle.
  • Other related responsibilities as appropriate.

Required Qualifications and Experience

  • Standard Ten.
  • Minimum 4 years of relevant experience.
  • Valid driver’s license and clean driving record.
  • Experience in driving official vehicles and handling transport logs.
  • Knowledge of vehicle maintenance and safety procedures.
