Academic Services Officer 

REPORTS TO: Academic Director

APPOINTMENT: Full-time, Contractual (with possibility of renewal)

BASE: Ullens College, Campus 2, Khumaltar, Lalitpur

POSITION SUMMARY

The Academic Operations/Services Officer will be responsible for leading the management of student registration, academic scheduling, and assessment processes at Ullens College. This role ensures accuracy, transparency, and efficiency in academic operations while upholding the highest standards of academic integrity and student centered service. 

KEY RESPONSIBILITIES

A.     Registration

  • Oversee and manage all student registration processes, including application intake, eligibility verification, and record maintenance.
  • Ensure full compliance with Kathmandu University regulations, as well as internal policies on admissions and scholarships.
  • Maintain and secure accurate student information systems.

B.     Academic Scheduling

  • Develop, maintain, and communicate the academic calendar, class schedules, and examination timetables.
  • Coordinate scheduling of all academic activities including lectures, laboratories, examinations, and co-curricular academic activities.
  • Collaborate closely with faculty, administration, and technical staff to optimize use of institutional resources and facilities.

C.    Examination/Capstone Management

  • Administer all internal and external assessments, including entrance examinations, mid-term and final examinations, practical assessments, and project evaluations.
  • Ensure fairness, transparency, and confidentiality in the conduct of assessments.
  • Develop and enforce standard operating procedures (SOPs) for examinations and grading.
  • Liaise with Kathmandu University and relevant regulatory bodies for reporting and compliance.

D.     Academic Systems and Process Improvement

  • Lead the implementation of digital solutions (ERP, LMS, or equivalent) for registration, scheduling, and assessment.
  • Generate periodic reports and analytical summaries for academic governance bodies.
  • Identify process inefficiencies and recommend improvements to enhance student and faculty experience.

MINIMUM REQUIREMENTS

  • Master’s degree in Education Administration, Management, Information Systems, or a relevant discipline.

REQUIRED EXPERIENCES: 

  • Minimum of 3-4 years of professional experience in academic administration, student services, or institutional operations.
  • Demonstrated familiarity with higher education systems in Nepal, preferably within Kathmandu University–affiliated institutions.
  • Proven experience with digital academic platforms (such as ERP systems, Moodle).

Student Affairs Manager

REPORTS TO: Academic Director

APPOINTMENT: Full-time, Contractual (with possibility of renewal)

BASE: Ullens College, Campus 2, Khumaltar, Lalitpur

POSITION SUMMARY

The Student Affairs Manager is responsible for leading and overseeing all aspects of student life and support services, including counseling, clubs and activities, and grievance resolution. Serving as the primary liaison between students and the administration, the role ensures that student concerns and needs are addressed promptly, professionally, and ethically, while fostering an inclusive, engaging, and supportive campus environment.

KEY RESPONSIBILITIES

A.     Student Welfare and Counseling

  • Oversee and enhance student well-being services, including access to academic and personal counseling.
  • Establish and manage support systems for students facing personal, social, or academic challenges.
  • Maintain strict confidentiality and ethical standards in all student support matters.

B.     Student Engagement and Activities

  • Develop, implement, and supervise student clubs, organizations, and leadership programs.
  • Coordinate a diverse range of co-curricular and extracurricular activities such as sports, arts, cultural events, and community service.
  • Champion diversity, inclusion, and student leadership across the College.

C.     Career Services and Professional Development

  • Facilitate meaningful career counseling, internships, and networking opportunities for students.
  • Collaborate with industry partners and alumni to create pathways for professional development.
  • Organize workshops covering essentials employability skills, soft skills, and career readiness.

D.     Student Governance and Representation

  • Support the functioning of student bodies and forums for student representation.
  • Provide guidance to student leaders while ensuring alignment with institutional policies.
  • Act as a mediator in student grievances, ensuring fair and transparent processes.

E.     Administration and Compliance

  • Maintain comprehensive and accurate records of student activities, participation, and disciplinary matters.
  • Ensure full compliance with Kathmandu University guidelines and internal policies.
  • Prepare and present timely, periodic reports on student affairs for submission to the Academic Director and governing bodies.

MINIMUM REQUIREMENTS

  • Master’s degree in Education, Psychology, Management, or a related field.

REQUIRED EXPERIENCES: 

  • Minimum of five 3-5 years of professional experience in student affairs, counseling, higher education administration, or related fields.
  • Demonstrated experience in student development programming and event management.
  • Familiarity with higher education structures in Nepal; international exposure will be considered an asset.

IT Officer 

APPOINTMENT: Full-time, Contractual (with possibility of renewal)

BASE: Ullens College, Campus 2, Khumaltar, Lalitpur

POSITION SUMMARY

The IT Officer will be responsible for supporting and maintaining the academic and administrative technology infrastructure at Ullens College. This role ensures the smooth operation of day-to-day IT services, effective management of digital learning environments, and specialized support for the B.Tech in Cybersecurity program. The IT Associate contributes to a secure, innovative, and collaborative educational environment while enabling technology-driven learning and institutional growth.

KEY RESPONSIBILITIES

A.    Technical Support and Maintenance 

  • Provide first-line IT support to faculty, staff, and students.
  • Troubleshoot hardware, software, networking, and connectivity issues.
  • Maintain and update computer systems, servers, printers, projectors, and related infrastructure.
  • Install, configure, and update operating systems and applications.
  • Manage IT helpdesk and ticketing system.
  • Provide technical support for events, projection systems, and digital literacy labs.
  • Conduct regular software and hardware updates, including security patches.
  • Support day-to-day software use (OS, office packages, antivirus tools) and deliver user training.
  • Maintain telephone, intercom, and surveillance systems.

B.     Academic IT Support

  • Set up and maintain computer labs for Computer Science and Cybersecurity programs.
  • Manage software licensing, virtual machines, and specialized tools (e.g., Kali Linux, Wireshark, and VMware).
  • Support Learning Management Systems (Moodle, Google Classroom, etc.) and digital examination tools.
  • Administer ERP and LMS platforms, including data management and system updates.
  • Manage institutional mailing lists, user accounts, and access rights.
  • Coordinate with faculty to ensure technology readiness for classes and workshops.
  • Administer directory systems (LDAP, Active Directory).

C.     Network and System Administration

  • Monitor and maintain LAN, Wi-Fi, fiber optics, and internet services across the campus.
  • Configure and secure firewalls, VLANs, NAC, and bandwidth management tools.
  • Ensure network reliability through proactive monitoring and incident tracking.
  • Manage user access control and implement cybersecurity best practices.
  • Collaborate with external vendors for troubleshooting and upgrades.
  • Support version control systems, web servers (Apache, Nginx, Lighttpd), and containerization platforms (Docker, LXC).
  • Assist in web application and API development as required.

D.     IT Asset Management 

  • Maintain accurate inventory of all IT hardware and software assets.
  • Oversee timely repair, replacement, and upgrades of IT resources.
  • Manage procurement processes and vendor relations.
  • Implement disaster recovery and continuity plans, including backup and restoration protocols.

E.     Documentation and Reporting 

  • Maintain detailed logs of IT issues, resolutions, and updates.
  • Prepare technical documentation, user manuals, and training guides.
  • Generate periodic reports on system performance, incidents, and improvement recommendations.

F.    Research, Development, and Security

  • Monitor and update digital assets, including institutional websites and social media platforms.
  • Conduct internal security audits and coordinate with external auditors as needed.
  • Develop automation tools to improve IT efficiency and service quality.
  • Support sustainability initiatives and contribute to building a smart campus environment.

MINIMUM REQUIREMENTS

  • Bachelor’s degree in Computer Science, Information Technology, or related field. (BCA, BIT, BE IT, or equivalent).

REQUIRED EXPERIENCES: 

  • At least 2 years of professional experience in IT support, systems administration, or related fields (preferred).
  • Fresh graduates with strong practical skills are also encouraged to apply.
  • Certifications (Preferred): CompTIA A+, Network+, CCNA, or equivalent.

SKILLS

  • Proficiency in Windows, Linux, and Mac operating systems.
  • Strong understanding of networking (routers, switches, IP addressing, DNS/DHCP).
  • Basic knowledge of cybersecurity tools and practices.
  • Experience with Google Workspace (Docs, Sheets, Drive) and Microsoft Office 365.
  • Ability to troubleshoot effectively under pressure and explain technical issues clearly.
  • Willingness to learn and adapt to emerging technologies and educational platforms.
