Request for the Quotation for Office Redesign and Remodeling

1. Background: 

Heifer Project Nepal is dedicated to ending hunger and poverty while caring for the Earth. Its mission is to ensure families achieve sustainable living incomes, with access to food, shelter, education, and healthcare, while driving progress toward more inclusive and resilient agri-food systems.

Heifer Project Nepal invites qualified and VAT-registered vendors to submit quotations for the redesign and remodeling of its existing office workspace at Hattiban, Lalitpur.

2. Scope of Work: 

a. Conducting a site visit to understand the requirements in detail before submitting the quotation.

b. Dismantling and removing existing furniture.

c. Producing and installing furniture works, false ceiling, electrical works, painting, and other related works as per the approved design, layout, and Bill of Quantities (BOQs).

3. Site Visit Dates:

Interested vendors are encouraged to attend the site visit on either of the following dates. 

• 12 May 2026, between 3:00 PM-5:00 PM
• 18 May 2026 between 3:00 PM–5:00 PM

4. Work completion timeline:

The work must be completed within one month from the date of contract execution.

6. Submission Requirements

Interested vendors are requested to submit their quotations along with the following documents:

• Application letter covering technical approach, workplan, similar experience, team structure, quality assurance) not more than 2 pages
• Completed BOQ with signature and stamp 
• Company registration certificate 
• VAT registration certificate 
• Tax clearance certificate for FY 081/82 
• At least two relevant experience certificates 
• Company profile 

Quotations must be submitted by email to Procurement-NP@heifer.org  no later than 19 May 2026, 11:00 AM.

The email subject line should be: “Quotation for the Office Redesign”

Evaluation Criteria:

Proposals will be evaluated using a quality-and-cost-based approach, with 60% weightage for quality and 40% weightage for price.

The quality evaluation will consider the following factors:

Quality evaluation factors will include proposed materials and specifications, relevant experience in similar office works, technical approach and work plan, team strength and technical capacity, commitment to complete the assignment within the required timeline, and quality assurance and after-sales support.
