REQUEST FOR SEALED QUOTATIONS

Institute of Himalayan Risk Reduction invites sealed quotations from eligible suppliers for the supply following items.

Eligible and interested vendors can download the TOR and submit their quotations along with required documents to the IHRR office in Kupondole or also through passport protected soft copy. This invitation does not entail any commitment on the part of IHRR, either financial or otherwise. IHRR reserves the right to accept or reject all responses without incurring an obligation.

• 1 unit of Drone
• 1 unit of 360 action camera
• 1 unit of Virtual Reality Set
• 1 unit of iPad

Required Documents:

• Cover Letter / Quotation Submission Letter   (Signed and stamped by the authorized representative of the firm, States the reference number of the RFQ (Request for Quotation), validity period, and total quotation amount)
• Technical Specification / Compliance Sheet (Description of offered goods matching the specifications in the RFQ).
• Detailed Financial Quotation (Itemized price list (unit price, quantity, total, tax/VAT if applicable), Clearly mention currency and delivery terms (e.g., inclusive/exclusive of transportation))
• Warranty or After-Sales Service Commitment (if applicable) For equipment or materials requiring maintenance support.
• Business Registration Certificate, PAN Certificate
• Recent VAT and Latest Tax Clearance Certificate

Submissions Instructions:

• The financial proposal must be prepared under the given format. Quotations can be submitted either in hard copy or digitally.
• The Submission Document should contain all the required documents mentioned above and financial quotation.
• For hard copies submission, please provide sealed document to IHRR Office, Kupondole, Lalitpur, Nepal. 75 Mahabir Marga South Kupondole, Ward No 1, Lalitpur Metropolitan City, Lalitpur 44700 Bagmati Province, Nepal
• For digital copy submission, please email the documents at operation.ihrr@gmail.com. Use subject line: Quotation Submission – Equipment Name – [Name of Your Firm]  Note: The financial proposal document]must be password-protected  and the password should be sent only after the deadline. (The Financial proposal can be sent in single email with the following subject line)
• The sealed quotation should reach to Institute of Himalayan Risk Reduction by 25 November 2025, before 5 PM.
