Subject: Request for Quotation for Hotel and Air Ticketing Services

Consortium Nepal is coordinating a National Event with Children from 2–5 September 2026. In this connection, Consortium Nepal invites quotations from eligible hotels and travel/airline ticketing agencies for providing accommodation, catering, conference hall, and domestic air ticketing services as per the requirements below.

A. HOTEL, ACCOMMODATION, HALL AND CATERING SERVICES

1. Accommodation Requirements

Participants will arrive on the morning of 2 September 2026, and lunch will be required on the same day. The event will continue until 4 September 2026, with participants checking out on the morning of 5 September 2026.

2. Catering Requirements

Please provide separate per-person rates for:

• Breakfast
• Lunch
• Dinner
• TTC
• Hi-Tea
• AP and MAP Plan

Please clearly mention whether the quoted rates are inclusive or exclusive of VAT and other applicable taxes.

B. DOMESTIC AIR TICKETING SERVICES

Consortium Nepal also requires a reliable travel/airline ticketing agency to arrange domestic flight tickets for participating children and accompanying participants travelling to and from Kathmandu.

The selected agency will be expected to:

• Arrange and issue domestic flight tickets.
• Provide the most economical and suitable available fares.
• Coordinate flight schedules according to the programme.
• Provide alternative flight options where applicable.
• Assist with ticket changes, cancellations or rescheduling, if required.

The final number of passengers and specific routes will be confirmed based on the final participant list and travel requirements.

C. SUBMISSION OF QUOTATION

Interested hotels and travel/airline ticketing agencies are requested to submit their sealed quotation no later than 28 August 2026.

Quotations should clearly mention applicable VAT/taxes, service charges, quotation validity, and other applicable costs along with legal documents including updated tax clearance certificate. 

Consortium Nepal reserves the right to accept or reject any or all quotations, wholly or partially, without assigning any reason.
