1. Invitation for Quotation

Manavsewa Ashram invites sealed quotations from interested and eligible suppliers for the supply and installation of Biometric Attendance Devices as per the specifications mentioned in this Request for Quotation (RFQ).

3. Required Documents

Bidders must submit the following documents along with their quotation:

·         Business/Company Registration Certificate

·         PAN/VAT Registration Certificate

·         Latest Tax Clearance Certificate

·         Self-Declaration Letter or Zero-Tolerance Letter

4. Information to be Included in the Quotation

Suppliers are requested to clearly provide the following information in their quotation:

1.      Unit Price (Per Unit Cost)

2.      Lead Time after Confirmation of Purchase Order

3.      Credit Period (Number of Credit Days)

4.      Installation Charges (if applicable)

5.      Total Warranty Period

6.      Any Other Relevant Information or Supporting Documents

5. Delivery and Installation Requirements

The selected supplier shall be responsible for the supply, delivery, installation, testing, and commissioning of the biometric devices at the designated branches of Manavsewa Ashram located in different parts of Nepal.

6. Contract Conditions

·         The selected bidder must complete the assigned work within the agreed timeframe from the date of commencement.

·         The quoted price shall remain fixed throughout the contract period and no price escalation shall be accepted.

·         Manavsewa Ashram reserves the right to procure the required quantity partially or according to its operational and annual requirements.

·         Manavsewa Ashram reserves the right to accept or reject any or all quotations without assigning any reason and may award the contract either partially or in full, as deemed appropriate.

7. Ethical Conduct and Zero Tolerance Policy

Manavsewa Ashram maintains a strict zero-tolerance policy towards fraud, corruption, collusion, coercion, bribery, and any other unethical practices.

If any inappropriate recommendation, influence, conflict of interest, or unethical practice is identified during the procurement process, the concerned bidder shall be automatically disqualified from further evaluation and future procurement opportunities with Manavsewa Ashram.

8. Submission of Quotations

The completed quotation must be submitted on or before:

Quotations may be submitted:

·         In Person: Manavsewa Ashram, Raniban, Kathmandu

·         By Email: quotation@msa.org.np

Quotations received after the deadline shall not be considered. If the submission deadline falls on a public holiday, quotations will be accepted on the next working day.

9. Bid Opening

Manavsewa Ashram may invite bidders to participate in the bid opening process. However, in the absence of any bidder, Manavsewa Ashram reserves the right to proceed with the opening and evaluation of quotations.
