Paddy Seeds Supply for Community Plantation Support

1. Background

The Institute of Himalayan Risk Reduction (IHRR), under the CIUK Project is implementing climate resilience activities in Rautahat District. Farming communities in this region remain highly vulnerable to climate variability due to dependence on rain-fed agriculture and limited access to climate-resilient inputs. As part of anticipatory agricultural action, IHRR intends to procure and distribute quality paddy seeds to vulnerable farming households to support timely plantation and improve food security.

1. Purpose of the Assignment

IHRR invites quotations from qualified and registered suppliers for the procurement and delivery of certified, climate-resilient paddy seed varieties to designated distribution points within the project areas. The assignment aims to ensure vulnerable farming households have timely access to improved seed varieties ahead of the paddy plantation season.

1. Required Seed Varieties 

The supplier is expected to provide the following certified, stress-tolerant paddy seed varieties:

•       Hardinath-1

•       Sujhadhan-3

Seeds must be certified, free from contamination and physical damage, and approved by relevant agricultural authorities in Nepal.

1. Scope of Work 

Seed Supply and Quality Assurance

• Supply certified, high-quality paddy seed varieties approved by relevant agricultural authorities.

• Ensure seeds comply with national agricultural quality standards and are free from contamination, disease, and physical damage.

• Provide proper labeling and packaging, including seed variety name, batch number, germination rate, expiry information, and technical specifications.

Transportation and Delivery

• Ensure timely delivery of seeds to designated distribution points within Rajdevi Municipality and Durga Bhagwati Rural Municipality, Rautahat District.

• Coordinate with IHRR project staff and local authorities for smooth delivery logistics.

• Bear all costs related to transportation, handling, loading, and unloading.

1. Deliverables

• Timely supply and delivery of agreed quantities of paddy seeds to designated locations.

• Certified paddy seed varieties meeting agreed quality standards.

• Delivery invoices and transportation documentation.

1. Required Documents 

Interested suppliers must include the following with their proposal:

•       Company/Firm Registration Certificate

•       Tax Clearance Certificate

•       PAN/VAT Registration Certificate

•       Financial Quotation

•       Product/Seed Specification Details

•       Experience of Similar Supply (if available)
