Hami DajuVai
Hami DajuVai (HDV) is a youth-led feminist organization working in the field of men and masculinities. Since its establishment in 2019, HDV has worked in close coordination with government ministries, academic institutions, national and international networks, and other like-minded organizations. Since 2020, HDV has been organizing the Feminism and Men Conference (FAM Conference) together with the Central Department of Gender Studies, Tribhuvan University (TU) and MenEngage Alliance Nepal to explore the engagement of men and boys in the feminist movement and foster dialogue around masculinities.
About MenEngage Alliance and MEASA
The MenEngage Alliance (MEA) works globally to advance gender justice, grounded in accountability to women's rights and LGBTQIA+ movements. MenEngage Alliance South Asia (MEASA) has anchored this work in the region for over a decade, convening and reflecting on what it means to engage men and boys with integrity - moving beyond individual behaviour change toward structural transformation, and remaining accountable to feminist movements and marginalised communities.
About the Convening
The Asia Regional Convening - Moving Beyond Allyship: Masculinities and Systems Change in Asia : Accountability, Care, Resistance, and Justice - is a politically grounded, critically reflective and action-oriented space that brings together diverse movements and allies across Asia to deepen collective analysis, build solidarity, and strengthen strategies for systems change. Happening over three days (7–9 December 2026) in Kathmandu, Nepal, it is part of a continuum of political organising leading to the 4th MenEngage Global Symposium in 2027.
To provide coordination and logistical support to the steering committee of the convening and MEASA Secretariat, Hami DajuVai, as the national secretariat of MenEngage Alliance Nepal, announces the vacancy for the following positions :
1. DESIGNATION : Project Coordinator - PROGRAMME & STAKEHOLDER COORDINATION

Role Purpose
The Project Coordinator – Programme & Stakeholder Coordination will be a Nepal-based member of the local convening support team, working closely with MEASA Secretariat and Programme Committee to support the planning and delivery of the National and Regional Convening.
The role will provide day-to-day local coordination support for programme-related activities, stakeholder engagement, communications and documentation, ensuring that the convening programme remains aligned with the objectives, processes, standards and expectations of the MEASA Secretariat.
Key Responsibilities
Programme Coordination
- Support the MEASA Secretariat and Programme Committee in planning and coordinating programme-related activities for the convening.
- Attend internal planning meetings, programme check-ins and external stakeholder engagements as required.
- Support in maintaining programme timelines, action trackers and follow-up on agreed deliverables.
- Support coordination with speakers, facilitators, artists, partners and other programme contributors.
- Assist with the collection and consolidation of speaker profiles, session information, biographies, presentations and other programme materials.
- Flag programme-related risks, delays or gaps to the MEASA Secretariat and relevant committee members.
Stakeholder Communication & Coordination
- Serve as a local Nepal-based coordination point for programme-related communication, working with MEASA Secretariat.
- Support ongoing communication with local partners, networks, speakers, facilitators and other stakeholders.
- Coordinate local follow-ups and logistical requirements arising from programme discussions.
- Ensure that agreed information and decisions are communicated to relevant local stakeholders promptly.
Documentation & Communications
- Support the preparation, compilation and finalisation of the convening report and other post-event documentation.
- Coordinate inputs for policy briefs, media/press materials, programme summaries and related communications outputs.
- Maintain organised records of programme decisions, correspondence, materials and deliverables.
- Support documentation of key programme activities and outcomes during the convening.
During the Convening
- Provide on-site programme coordination support to the MEASA Secretariat and Programme Committee.
- Support speakers, facilitators and session leads with programme-related needs.
- Help coordinate session timings, speaker movements and programme changes.
- Support rapid communication and troubleshooting of programme-related issues.
Eligibility:
- Fluency in written and spoken English and Nepali.
- Preference will be given to the person who has prior experience of working in the field of GESDI or a feminist organization and coordinating national and international events.
- Excellent Management and written and verbal communication skills, including the ability to work with a diverse range of actors from different cultural contexts in the Asia Region.
- Ability to work effectively under pressure and meet tight deadlines.
- Flexibility to work beyond standard office hours and on weekends when required by project demands.
- Must have a personal laptop.
- Having a two-wheeler with a valid driving license is an added advantage.

2. Project Coordinator – Operations & On-Site Logistics

Role Purpose
The Project Coordinator – Operations & On-Site Logistics will be a Nepal-based member of the local convening support team, working closely with the MEASA Secretariat to coordinate the practical and operational requirements of the National and Regional Convening.
The role will support the end-to-end coordination of local logistics, registration, volunteers, venue arrangements, vendors, materials and on-site delivery, ensuring that operational requirements are completed on time and that the three-day convening runs smoothly.
Key Responsibilities
Event Operations & Logistics
- Attend internal planning meetings, programme check-ins and external stakeholder engagements as required. Support the MEASA Secretariat in coordinating the operational planning and delivery of the convening in Nepal.
- Coordinate venue requirements, room set-ups, meeting spaces, accessibility requirements and on-site arrangements.
- Coordinate the preparation, movement and availability of event materials, signage, branding and participant materials.
- Coordinate local vendors and service providers, including catering, AV, printing, branding, transport and other event-related suppliers.
- Maintain operational checklists, timelines, run sheets and action trackers.
Volunteers & Staffing
- Support the recruitment, screening, briefing and training of volunteers.
- Develop volunteer deployment plans and coordinate volunteer responsibilities during the event.
- Manage on-site volunteer coordination and troubleshooting.
- Support staffing requirements for registration, helpdesk, sessions and other operational areas.
Registration & Participant Management
- Support the implementation and management of participant registration systems.
- Maintain and regularly update the master participant database, ensuring information is accurate, appropriately managed and accessible only to authorised team members.
- Coordinate participant communications relating to registration and event logistics.
- Support helpdesk operations and participant queries before and during the convening.
- Coordinate attendance tracking and other participant-related operational requirements.
Travel & Local Coordination
- Support the MEASA Secretariat with coordination of participant travel arrangements, including flight-booking processes where required.
- Coordinate local ground transportation and related logistics.
- Support coordination of airport transfers and other participant movement requirements.
On-Site Event Management
- Serve as the primary local operations coordination point for the convening, working under the direction of the MEASA Secretariat.
- Coordinate daily venue operations, vendors, volunteers, registration and participant services.
- Monitor the event run sheet and ensure that operational activities remain on schedule.
- Troubleshoot operational issues and escalate significant risks or decisions to the MEASA Secretariat.
- Coordinate contingency arrangements where required.
- Document key operational activities, issues and resolutions for post-event reporting.
Post-Event
- Support vendor close-out and collection of relevant documentation.
- Support the MEASA Secretariat with post-event operational reconciliation and documentation.
- Consolidate operational learnings, outstanding actions and recommendations for future convenings.
Other skills
- Fluency in written and spoken English and Nepali.
- Preference will be given to the person who has prior experience of working in the field of GESDI or a feminist organization having national and international event management and logistics management experience
- Excellent Management and written and verbal communication skills, including the ability to work with a diverse range of actors from different cultural contexts in the Asia Region.
