Project Associate (Short Term)

Founded in 1983, the National Democratic Institute for International Affairs (NDI) is a nonprofit, nonpartisan organization working to strengthen and expand democracy worldwide. NDI works with democratic institutions in every region of the world to build political and civic organizations, safeguard elections and promote citizen participation, openness, and accountability in government. Headquartered in Washington, DC, NDI maintains offices in over 70 countries on five continents. Its diverse workforce of employees from 75 countries are united in the belief that democracies promote economic growth and development more consistently and equitably than non-democratic political systems. NDI’s office in Nepal has been operational since 1994 and has since collaborated with the Parliament, political parties, government agencies and civil society.

NDI-Nepal is seeking candidates for a short term - Project Associate position to support the country office and program team in the day-to-day activities and office operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Handle reception duties, greet visitors, answer phone calls, and transfer them to the appropriate staff.
  • Manage incoming and outgoing correspondence, courier dispatch, and maintain the visitor logbook.
  • Track due dates and ensure timely payments of utilities (internet, telephone, cell phone, electricity, water, etc.).
  • Support NDI’s administrative and logistics functions and ensure smooth day-to-day operations.
  • Provide logistical support for meetings, workshops, training, and field activities including venue setup, travel, and accommodation arrangements.
  • Monitor and maintain stock levels of office supplies, consumables, and stationeries, ensuring efficient use and preventing stock-outs.
  • Maintain and organize all payment documents, receipts, and invoices in accordance with NDI’s policies and project budget requirements.
  • Maintain the vendor’s profile and support in bookings (Travel, accommodation, ticketing, etc.).
  • Provide administrative and logistical support in planning, organizing, and executing program activities and events.
  • Contribute to the writing, translation, and editing of program reports, proposals, and documents in English and Nepali.
  • Assist in the preparation of proposals, work plans, and progress reports under supervision.
  • Participate in strategic and work plan discussions and attend regular staff and partner meetings to stay informed about political and programmatic developments.
  • Supervise office support staff.
  • Perform any additional responsibilities assigned by the supervisor based on program and organizational needs.

EDUCATION AND/OR EXPERIENCE

  • Bachelor’s degree in Business Administration, Management, Development Studies, or a related field.
  • Minimum 2–3 years of relevant experience in administration, logistics, or program support, preferably in a donor-funded or INGO environment.

REQUIRED SKILLS AND ABILITIES

  • Good interpersonal skills to effectively interact with all levels of staff, international personnel and political partners and party representatives;
  • Good oral and written communication skills to effectively present information, respond to questions and prepare draft written reports in a professional manner;
  • Capacity to work both independently and as a member of a team;
  • Ability to define problems, collect data, establish facts and draw valid conclusions;
  • Working knowledge of Microsoft Office Programs;
  • Experience with Google Apps (Gmail, Calendar, Google Drive, G+, etc.) strongly desired;
  • Working knowledge of basic budget and accounting procedures;
  • Ability and willingness to travel to regional locations, which are often remote and difficult to reach;
  • Interest in and knowledge of national political environment, parties and political leaders;
  • Able to perform basic political analysis on political and programmatic developments;
  • Good English writing, speaking and translating skills;
  • Ability to effectively articulate NDI mission statements and program/project initiatives;
  • Excellent organizational skills, attention to detail and ability to prioritize and manage multiple tasks simultaneously and meet deadlines;
  • Ability to apply discretion and maintain confidential information;
