As we strengthen our internal structure, we are seeking a highly motivated and emotionally mature professional to support our operations, HR systems, and executive leadership.
II. Position Overview
A. The Operations & Executive Support Manager is a key organizational role responsible for ensuring smooth day-to-day operations, managing HR processes, and providing direct support to the Executive Director.
B. The ideal candidate brings positive energy, strong coordination skills, emotional intelligence, and a solution-oriented mindset.

III. Key Responsibilities
A. Operations Management (40%)
  1. Oversee daily office operations, logistics, procurement, vendor coordination, and assets.
  2. Maintain and update organizational SOPs and ensure adherence across teams.
  3. Support program logistics, including travel, events, venue coordination, and documentation.
  4. Ensure all physical and digital filing systems are organized, updated, and audit-ready.
  5. Provide troubleshooting and operational support proactively.
B. Executive Support (30%)
  1. Manage the Executive Director’s calendar, meetings, travel, and communication.
  2. Prepare briefs, meeting notes, follow-ups, and official documents for the ED.
  3. Coordinate communication between the ED and team members.
  4. Track organizational priorities and ensure timely execution.
  5. Maintain confidentiality while supporting the ED.

IV. HR & People Support (20%)
A. Support recruitment, onboarding, offboarding, and HR administrative processes.
B. Maintain HR files, personnel records, and leave trackers.
C. Uphold feminist, inclusive HR practices.
D. Support staff wellbeing and communication.

V. Compliance & Governance Support (10%)
A. Coordinate donor compliance documentation.
B. Support the preparation of audit folders and reporting documents.
C. Track compliance deadlines and maintain updated governance files.

VI. Required Qualifications
A. Bachelor’s degree in management, HR, business administration, or related field.
B. Minimum 3–5 years’ experience in operations, admin, HR coordination, or executive support.
C. Excellent communication skills in English and Nepali.
D. Strong organizational skills with attention to detail.
E. Ability to manage sensitive information with confidentiality.
F.     Experience in NGO operations is preferred but not mandatory.
