Office Operations/ HR Manager – Rillmark Pvt Ltd
Rillmark Pvt Ltd is a certified Digital agency/ IT company building innovative web solutions for the last 5 years. We have a team of 55 existing Web Ninjas with a modern office based in the heart of Kathmandu (Maitidevi).
Job Title: Office Operations/ HR Manager
Reporting to: CEO (and Internal Auditor)
Reported by: Accounts Executive, Marketing Executive, Client Services Executive, Receptionist, Office Boy, Office Assistants
Salary: Rs 30,000 - Rs 60,000 per month based on experience
Office Time: 09:00 AM to 06:00 PM - Sunday to Friday
Overall Purpose of the job: To be the HR lead and office Operations manager to ensure the smooth running of the Office.
Type of person required: We are implementing many new changes across the company so a positive attitude and the ability to influence people in a positive manner is essential. This person must be highly accountable, pro-active and take pride in their work. We are looking for someone who has an excellent eye for detail and is highly organised. This is a newly created job role.
3 Key areas of responsibilities:
HR
- Manage the HR function of Rillmark in conjunction with the CEO
- Responsible for the implementation of HR procedures and policies and for keeping up to date with law & good practice
- Manage all HR documents (employee contracts, letter of offer, etc) and review & update the staff handbook and organisational policy
- Manage Payroll
- Manage, advise and monitor the recruitment and selection process, including advertising, obtaining references, issuing contracts of employment, handling probation periods, etc
- Induction of new staff, manage employee relations and counselling (first point of contact for employee issues)
- Provide support to CEO regarding change management and organisational development and assisting with policy development and documentation
- Undertake employee appraisals and performance management
- Administer the HR Software (Zoho People – training provided)
- Oversee the Account Software
Executive Support
- Executive Support for the CEO
- Liaising with the Board of Trustees
- Support the Chair of the Board of Trustees and CEO on several issues
Office Management – Operations
- Be responsible for the day to day business administration of Rillmark ensuring that the office is running smoothly
- To maintain a good office environment
- To oversee Account function’s operation and support the function when required
- Be Direct Line Manager for Reception staff, Accounts Executive, Marketing staffs and Office Boy & Office Helpers
- Ad hoc projects, working as a team member in the operational aspects of Rillmark’s work and such other tasks as appropriate
Person Specifications:
Essential
- Experience in an HR role and good understanding of HR procedures
- Excellent administration and organisation skills
- Excellent written and oral communication skills and the ability to communicate effectively with a wide range of people at all levels
- Analytical, critical thinking and problem solving skills
- Experience of a busy office environment with competing demands

Education
- Good educational background in HR, Business Management or related fields. (MBA preferred or Bachelor's degree with a minimum 2-3 years of experience in HR and Administration)
