1. Background

Women’s Rehabilitation Center (WOREC) Nepal is a non-profit organization working to end gender- based violence and promote women’s rights and social justice across Nepal. To streamline procurement for FY 2026 and ensure transparency, competitiveness, and timely acquisition of goods, services, and consultancy support, WOREC invites Expressions of Interest (EOI) and Sealed Quotations from qualified vendors and consultants operating in our current working areas.

2. Scope of Categories

Interested parties may apply under one or more of the following categories. Please mark the category/ies clearly in your submission:

A. Goods / Supplies

  • Office supplies & stationery
  • ICT equipment (Supply of Computer, Laptop, Printer, Server, Firewall, LCD, Mobile Phone, Projector, camera, UPS, Photocopy Machine, Website hosting/maintenance, email services, helpdesk support, software licensing, backup and DR solutions and other IT equipment.)
  • Electrical & electronic appliances (Vacuum Cleaners, Extension cords and power strips with surge protection, Electric kettles, Ceiling fans or stand fans, LED tube lights and bulbs, Emergency lights and rechargeable lamps, Portable heaters, Air conditioners, Electric water dispensers, Inverters)
  • Furniture (workstations, chairs, storage units)
  • Visibility materials (banners, T-shirts, caps, signage, bags, ……)
  • Printing & Publications (Design and printing of Annual Reports, Calendars, Brochures, and other visibility materials)
  • Safety & emergency kits (Hygiene Kit, Dignity Kit, Tarpaulin, Winterization Kit and other items)
  • Field equipment (recorders, cameras, power banks)

  • Research, Surveys, M&E, Baseline studies
  • Legal Advisory & Policy Analysis
  • Communication, Media, and Advocacy support
  • Finance & Compliance Capacity Building (Financial Management, Internal Control Systems, Financial Reporting and Analysis, Procurement Compliance, Ethics and Governance)

  • Note: Vendors/consultants may propose additional relevant categories with clear justification and documentation.

3. Eligibility Criteria

  • Legal Registration: Company/Firm Registration Certificate and Renewals
  • Tax Compliance: PAN/VAT registration; latest Tax Clearance Certificate
  • Experience: At least 2 years operational experience in relevant category
  • Staffing & Capacity: Brief profile indicating key personnel/equipment (Mandatory for Hotel Services)
  • Quality Assurance: Relevant certificates/standards (if applicable)
  • Local Presence: Ability to supply in WOREC’s working districts
  • Commitment: Signed declarations on Ethical Conduct, Anti-Corruption, Child Safeguarding, Gender & Social Inclusion, and Conflict of Interest (Annexes)

4. Documents Required

  2. Company Profile (core services/products, years of operation, capacity)
  3. Legal Documents: Registration, VAT/PAN, latest Tax Clearance, Renewals
  4. Financial Documents: Audit Summary (if available)
  5. Past Performance: List of clients + sample POs/Contracts/Recommendation Letters
  6. Technical Specifications of goods/services (as relevant)
  7. Delivery/Service Lead Times and Warranty/After-Sales terms (if applicable)
  8. Declarations & Policies: Signed Annexes

Instructions for Submission

All submitted documents must be properly scanned to ensure that every piece of information is clearly visible and legible.

  1. The scan should be of high quality, with no blurriness, shadows, or faded text.
  2. Do not submit poorly scanned documents where any part of the content is unclear or unreadable.
  3. Ensure that no objects, such as hands, fingers, or other items, are visible on the document during scanning.
  4. The entire document should be captured within the frame, without any cropped edges or missing sections.

Sealed Envelope (Kathmandu Valley vendors):

  • Superscribe envelope with: “EOI for Vendor Listing [Category], WOREC/PROC/EOI/2026/002”.
  • Include one hard copy and a soft copy in a USB (optional).
  • Submit to: WOREC Central Office, Balkumari, Lalitpur by the deadline.
  • Email Submission (vendors outside Kathmandu Valley):
  • Subject line must be the same as envelope title: “EOI for Vendor Listing [Category], WOREC/PROC/EOI/2026/002”.

Clarifications/Queries:

  • Deadline for queries: 7 January, 2026.
  • Responses will be shared via email (no phone queries entertained).

  • WOREC may conduct due diligence including site visits, reference checks, and verification of documents prior to listing.

  • Child Safeguarding and Protection from Sexual Violence, Exploitation, Abuse and Harassment (PSEAH)
