POSITION:

Executive Assistant

·       Support the COO and other staff with appointment setting, calendar management and correspondence.

·       Assist in board and founder relations, including scheduling, document preparation and logistics for board meetings.

·       Coordinate staff meetings, take and disseminate meeting notes.

 

Finance & HR support

       Support all staff with recruitment – including the co-ordination of the entire process,   advertising where appropriate, short listing, arranging interviews, etc.

       Manage absence record keeping.

       Assist with the collation and recording of invoices for payment runs.

       Assist with the maintenance of staff personnel files.

       Assist with financial record keeping where required.

Office management

       Perform receptionist duties: answering the phone, taking messages, filing mail processing and coordinate with office messenger for office cleanliness and presentation.

       Run errands, manage supplies, and all relevant vendor relations.

       Coordinate the hiring of interns.

       Ad-hoc updates to the employee handbook and associated organizational policies and procedures.

       Assist with recruitment of staff and maintenance of personal files & benefit plans.

Essential


Undergraduate degree, preferably BBA.

·       At least two years professional work experience (internships qualify).

       Outstanding oral and written English communication skills.

       Excellent numeracy and MS Office (specifically Excel) skills.
