ABOUT THE ROLE
We are seeking a proactive IT Officer to ensure stable, secure, and efficient technology operations across office, remote, and field environments. This is a generalist role spanning endpoint management, network infrastructure, cybersecurity, data systems, digital communications, and user support. The position demands continuous system improvement — not reactive troubleshooting alone.
KEY RESPONSIBILITIES
‣ Maintain a complete IT asset register and execute a preventive maintenance schedule covering OS patching, disk optimization, driver updates, antivirus definition refreshes, and periodic hardware health diagnostics.
‣ Deploy and administer shared network and wireless printers across all workstations, ensuring seamless connectivity without per-user intervention.
‣ Manage LAN, Wi-Fi, and internet infrastructure; liaise with ISPs for service continuity; engineer reliable low-bandwidth connectivity solutions for remote and field-based staff.
‣ Administer organizational email — provision and deprovision accounts, enforce mailbox quotas, configure archiving policies, and resolve storage saturation without default reliance on quota upgrades.
‣ Deploy and manage an internal collaboration and unified communications platform — structured channels, file sharing, and video conferencing — as a governed alternative to informal messaging tools.
‣ Implement an automated, policy-driven backup solution covering all endpoints including remote locations — with defined RPO (recovery point) schedules, verified restore procedures, and offsite or cloud-based storage targets.
‣ Enforce backup hygiene through exclusion policies that filter out temporary files, browser cache, system junk, and duplicate data — ensuring backups contain only recoverable, operationally relevant content.
‣ Conduct periodic restore tests to validate backup integrity — confirming recoverability, not just backup job completion.
‣ Maintain device and account security — antivirus, access control, password and MFA policy, mobile device rules, and protection against phishing and external threats.
‣ Manage security incidents end-to-end — containment, remediation, root cause documentation — and deliver staff awareness sessions on cybersecurity hygiene.
‣ Architect and maintain a digital filing system with a standardized taxonomy, consistent naming conventions, version control, and granular access permissions aligned to team roles.
‣ Build and maintain operational databases or structured spreadsheets and design validated data-capture forms for field and office use to ensure data integrity at the point of entry.
‣ Curate and manage a centralized digital media library — organized by date, event, and location — with metadata tagging and controlled access for staff use.
‣ Manage organizational social media presence: govern account access and credentials, maintain a content calendar, schedule posts using platform scheduling tools, and produce branded visual content using Canva or equivalent design tools.
‣ Provide IT helpdesk support, maintain a request and resolution log, execute full onboarding and offboarding IT workflows — device provisioning, account setup, access grants on arrival; account suspension and data recovery on departure.
‣ Develop end-user documentation and deliver structured training on adopted tools, systems, and security protocols to build staff digital self-sufficiency.
‣ Evaluate and procure software on a value-for-cost basis — prioritizing open-source and free-tier solutions — and manage the full software lifecycle including license tracking, renewal oversight, and decommissioning of redundant tools.
‣ Conduct periodic technology audits, monitor emerging tools relevant to organizational needs, and maintain comprehensive system documentation to ensure institutional continuity independent of individual personnel.
REQUIRED SKILLS AND COMPETENCIES
‣ Demonstrated experience in preventive IT maintenance — scheduled upkeep across a fleet of devices, not reactive-only support.
‣ Proficiency in configuring and managing shared network and wireless printers across a multi-user environment.
‣ Hands-on administration — user provisioning, email management, storage governance, and permission control.
‣ Solid understanding of backup strategies and recovery procedures, including solutions optimized for low-bandwidth and intermittent-connectivity environments.
‣ Competence in cloud storage administration — folder taxonomy design, access control, and cross-team permission management.
‣ Working knowledge of endpoint security, access control frameworks, password policy enforcement, mobile device controls, and phishing mitigation.
‣ Ability to produce professional visual content and branded graphics for digital communications using Canva or equivalent tools.
‣ Experience managing an organization's social media presence with a structured content calendar — scheduled, consistent, and brand-aligned.
‣ Proficiency in Microsoft Excel or Google Sheets for structured data management, form design, and operational reporting.
‣ Strong communication skills — able to translate technical concepts for non-technical staff and produce clear, actionable user documentation.
‣ Cost-conscious and solution-oriented — evaluates free and open-source alternatives before escalating to paid procurement.
‣ Advantageous: experience with KoboToolbox, ODK or similar for field data collection; familiarity with workflow automation (Google Apps Script, Power Automate); prior experience in an agri-business, certification, or supply chain environment.
QUALIFICATIONS
‣ Bachelor's degree in Information Technology, Computer Science, Information Systems, or a related discipline — or demonstrable equivalent experience in a comparable generalist IT role.
‣ Minimum two years of practical, hands-on experience spanning endpoint management, helpdesk support, and digital systems administration.
‣ Professional certifications are advantageous but not mandatory where practical competency is evidenced.
