Kopila Valley Sewa Samaj is a nonprofit organization that implements programs in rural Nepal, including a school, a children’s home, and a women’s training center, Kopila Valley Sewa Samaj, through close ties with the local community. Our mission is to change the world by empowering Nepal’s children. With the funding support from Blinknow Foundation, every day, we strive to create a sustainable organization working to educate all of Kopila’s children until they are ready to enter the world as happy, skilled, confident, self-sufficient adults. We believe we can serve as a model for quality education in Nepal. We will strive to provide our children with scholarships (should they choose to pursue higher education), and the skills required to enter the world as global citizens and ambassadors for change.
ABOUT THE ROLE
The Chief Operating Officer executes all works related to the organization’s internal management, including planning, budgeting, implementation, team management, and other operational management. The role will also be responsible for the organization’s goals, achievements, good governance, and the delivery of its impact. The role requires collaboration with BlinkNow Foundation, including obtaining required approvals, organizing meetings, and reporting.

REQUIREMENTS
Education: Masters Degree in Management or related field.
Experience:
- 7+ years of professional experience in office operations, administration, government relations, and areas relevant to this role.
- Understanding of the legal, policy, and compliance provisions.
- Prior experience in working in non-profit organizations
- Excellent interpersonal skills in dealing with team members and government stakeholders.
- Good communication skills and familiarity with the use of technology.
Language: Fluent in both Nepali and English

- Team Management: Build and manage an effective team, creating the organization as the best workplace and system thinking.
- Program Planning and Delivering Impact: Active involvement in the annual planning process and ensure annual goals and target impact are achieved.
CORE RESPONSIBILITIES
The COO will be responsible for overseeing the following areas of responsibility:
1. Operational Management: Oversee Operations, finance, and logistics to ensure smooth operation and oriented towards sustainability.
- Ensure effective and efficient daily operation of the organization.
- Analyze current operational activities, processes, and performance, and conduct periodic reviews of operational activities to improve processes.
- Get the policies amended in a timely manner to implement for efficiency and compliance.
- Oversee the budget operation to ensure expenses are in line with the budget.
- Stewardship of the resources, including caretaking of the current and fixed assets.
- Create an operational environment, including logistics and procurement, that enables the programs to perform to their full potential.
2. Team Building and Management: Build and manage an effective team, creating the organization as the best workplace and system thinking.
- Build systems to create a talent pool and support system for the organization, through a network of people connected through different channels.
- Create a working environment to attract the best talent for the organization.
- Oversee team management to ensure the best working experience for the team members.
- Ensure that the mission, vision, and values of the organization are fully internalized by the team and consistently implemented throughout the organization.
- Professionalize the team management with set standards, and through regular 1:1 meetings, providing structured feedback, and conducting annual performance evaluations for the direct reports and professional development.
3. Planning and Impact Focus: Active involvement in the annual planning process and ensure annual goals and target impact are achieved.
- Lead the NGO planning process in the Results Based Framework (RBF).
- Ensure that key results are set for each team member and function, and progress is reviewed periodically and supported accordingly.
- Facilitate external reviews, monitoring, and evaluation of the program and organization as needed.
- Ensure that external stakeholder relationships are strengthened to support the organization's internal management.
- Internalize and lead change management efforts to drive continuous improvement in the organization’s performance.
- Build a for-impact culture and ensure the annual goals are achieved.
ADDITIONAL EXPECTATIONS
The COO is also expected to:
- Build positive working relationships and environment in the organization by bringing solutions to the table.
- Demonstrate professionalism in all interactions and execution of duties.
- Report to the manager on a weekly basis, and as needed in the event of urgent issues.
- Promote team alignment on the org-wide decisions.
- Ensure and enforce confidentiality of collected information and data.
- Embrace and support the values of care, gender equity, and sustainability.
- Create and maintain a work schedule for all activities and routines within the program, ensuring it is followed.
- Respond to messages and emails promptly.
- Report to your supervisor on a weekly basis, and as needed in the event of urgent activities.
- Strengthen the coordination with stakeholders, line agencies, and partner organizations.
- Demonstrate professionalism in all interactions and execution of duties, including ensuring confidentiality as per the organization’s protocols.
- Build and maintain strong relationships with the leadership teams of KVSS and BlinkNow Foundation to ensure the continued success of our joint projects.
- Organize and attend weekly staff meetings to share operational updates.

- You require little supervision and are flexible. You understand that you will be wearing many hats in this role, many of which are not explicitly included in this job description.
