Background & Project Description: 

In September 2017, the U.S. Government’s Millennium Challenge Corporation (MCC) signed a $500 million compact agreement with the Government of Nepal. The compact aims to increase the availability and reliability of electricity, maintain road quality, and facilitate power trade between Nepal and India - helping to spur investments, and accelerate economic growth.  The compact agreement is valid for a period of five years, and is currently in implementation stage, prior to Entry-Into-Force (EIF) at which time the five-year time period begins. 

Pursuant to the aforementioned agreement, the entity charged with implementing the project has been established as the Millennium Challenge Account Nepal (MCA-N) entity. This position will assume a critical role in the success of MCA-N. 

Position Objective: 

The Assistant, reporting directly to the ED/CEO, provides support in a range of administrative services including organization of event logistics, travel arrangements, and maintenance of office inventories and filing systems related to the ED/CEO. 

Duties and Responsibilities: 

Office Management 

  • Maintains an inventory of office supplies and equipment ensuring that stocks are replenished on a regular basis and faulty equipment are repaired as needed facilitating workplace efficiency  
  • Maintains filing systems and databases of all division and project documentation to ensure that activities are well-documented in support of planning and auditing processes 

Administration  

  • Submit and reconcile expense reports 
  • Take accurate minutes of meetings 
  • Produce and distribute correspondences, memos, letters, faxes and other forms of communications  
  • Handle sensitive communication with highest degree of confidentiality and integrity 

Planning 

  • Initiates communication within MCA-N and with external service providers, to ensure that logistical preparations for workshops, meetings, and events are in place allowing sufficient leeway in case of changes in schedule or venue 
  • Organize and schedule meetings and appointments 

Logistics 

  • Processes visa applications and travel arrangements, travel disbursements, and other travel-related requirements in accordance with MCA-N’s   travel policy in order to support leadership activities for ED/CEO 
  • Organizes logistics and materials for workshops, meetings, and events to support smooth-running activities for the ED/CEO 

Requirements (Education, Experience, Technical Competencies): 

  • Bachelors’ Degree from a recognized institution in Human Resources Management, Business Administration, Business Information Systems, Public Administration, General Management, Office Management, Economics, Natural Sciences, Social Sciences, Humanities, Arts, Commerce, Public Policy or equivalent fields 
  • Minimum three (3) years of cumulative experience in General Office Administration & Management (accumulated after acquisition of Bachelor’s Degree) 
  • Excellent time management skills and ability to multi-task and prioritize work 
  • Excellent communications skills in speaking and writing and note-takin. 
  • Attention to detail  
  • Problem-solving skills 
  • A self-starter who is proactive, takes ownership and initiative
