Job Opportunity: Administrative & Finance Officer
Location: Lalitpur, Nepal
Reports To: Administrative & Finance Manager, Deputy Director, if any
Contract Type: Full Time - 7 months (with a 3-month probation period, subject to renewal).
Just Futures Pahal (JFP) is a not-for-profit, government-recognized organization in Nepal committed to understanding and engendering new narratives on dignity, justice, equity, inclusive democracy, and sustainability through the prism of Jat/Caste. Dalit women are the primary actors and focus of its work, in collaboration with Dalit men, gender and sexual minorities, other marginalized groups, and progressives from dominant castes and others worldwide. Dalit women lived experiences, love, aspirations, and leadership are central to all JFP endeavors.
Role Overview:
JFP is seeking a seasoned professional and highly motivated Admin and Finance Officer to oversee the organization's financial health, administrative functions, and operational efficiency.
The role of JFP’s Admin and Finance Officer will be supporting to Admin & Finance Manager in managing the organization's financial planning, budgeting, accounting processes, and day-to-day administration, ensuring that JFP maintains strong financial integrity and compliance with applicable legal and accounting regulations.
Key Responsibilities:
1. Finance & Accounting:
Accounting Operations: Initiate to daily accounting activities, including maintaining accurate financial records, processing invoices, expense claims, and bank reconciliations.
Documentation: Prepare accounting documentation, program documentation based on program and event, advance requisition preparation, advance approval document, petty cash document and program document with social audit of expenses.
Audit & Compliance: Assist to coordinate with external auditors to ensure smooth audits, and ensure all financial activities comply with statutory/ Social Welfare Council (SWC) requirements, tax regulations, and JFP’s financial policies.
Perform any other tasks assigned by the Line Manager.
2. Administration:
Office Management: Oversee the smooth functioning of the office, including logistics, procurement, and asset management, ensuring that all administrative processes are efficient and well-organized.
HR Support: Support HR-related tasks, such as maintaining employee records, leave records, facilitating recruitment processes, and coordinating staff onboarding and training.
Event Coordination: Take a lead in planning and organizing internal and external events, workshops, and meetings.
Set up administrative processes, documents and reporting that ensure staff well-being and safety at workplaces and during work hours
3. Procurement & Vendor Management:
Vendor Liaison: Manage relationships with vendors and service providers, ensuring timely procurement of goods and services and maintaining accurate records of and preparing reports of procurement/ transactions.
Contract Management: Assist to oversee contract negotiations, agreements, and renewals with suppliers and service providers, ensuring adherence to JFP’s procurement policies.
Qualifications:
- Education: Bachelor's degree in Finance, Accounting, Business Administration, or a related field; a Master’s degree or relevant professional qualification is preferred.
- Experience: At least 3-4 years of relevant experience in finance, accounting, and administration, preferably in the non-profit or social sector.
- Technical Skills:
- Strong proficiency in accounting software (e.g., FAMAS) and MS Office Suite, especially Excel.
- Sound understanding of financial management, budgeting, and accounting principles, with knowledge of Nepali tax laws and compliance requirements.
- Analytical Skills: Excellent analytical and problem-solving skills, with the ability to interpret financial data and make informed decisions.
- Administrative Skills: Proven experience in office administration, procurement, and vendor management.
