JOB SUMMARY The Administrative Assistant provides administrative support to the program management team. S/he will be based in the Kathmandu office and will report to the Finance and Administrative Officer, PMNH Kathmandu. PRIMARY RESPONSIBI.LITIES Administrative • Draft/edit correspondence and memoranda, letters, and other documents as necessary; • Draft consultancy agreements, make payments and handle accounting; • Maintain and update files and databases; • Make logistical arrangements for internal and external meetings, and other special events or international conferences; • Maintain the Project Director’s calendar including scheduling appointments, conference calls and meetings; • Help manage travel and expense reports for project team; • Other tasks as assigned. Logistical • Procure equipment and goods as required by the project and provide all indicated receipts • Store, supervise and monitor official goods • Labeling office goods • Provide logistics and administrative support for trainings, meetings and other required activities of the DOW projects, • Arranging travel arrangements and hotel accommodation for HealthRight local staffs in districts and in central region and headquarter staff Program • Support Project Staff in training conduction by managing training halls, materials and participants’ correspondence; • Ensure logistic management of national and international visitors. • Facilitate communication with stakeholders as required by the project team Human Resource/Administration • Support staff recruitment procedures including vacancy announcements; • Maintain in-coming and out-going HealthRight official letters; • Maintain staff attendance and leave records; • Assist in the preparation of HR monthly reports. QUALIFICATIONS • Bachelor’s degree required; • Previous office experience with health related INGOs preferred; • Excellent communication and organizational skills; • Commitment to working as a member of a team; • Attention to detail and ability to work well under pressure; • Discretion and ability to handle confidential issues; • Pleasant, diplomatic manner and disposition in interacting with senior management, co-workers and the general public; • Extensive computer skills (expertise with Microsoft Word, Excel and Internet required).
