OHW works with local communities and local health service providers to develop a culturally appropriate Network of Safety around mothers and infants, by raising awareness, teaching good practices, and distributing essential equipment to ensure that mothers and infants survive delivery and the first months of life.

Admin Finance Assistant Officer

Line Management Report to: District Coordinator

Technical Report to: Cluster Admin and Finance Officer

Supervision:  N/A

Level:  4

Duty Station: Beni, Myagdi

Purpose of the Position:

Under the direct supervision of District Coordinator, the Admin Finance Assistant Officer perform activities related to financial management, office administration and logistics in District Office.   

Major Duties and Responsibilities: 

  • Responsible for day to day general management of offices
  • Properly register and filed all correspondence and official documents
  • Assist required support during conduction of program activities, training and meetings
  • Procurement of stationery/supplies following OHW procurement policy
  • Arrange for travel, transportation, accommodations and other logistics support
  • Ensure maintenance of log book for the official bike and timely servicing and maintenance of the bike
  • Fulfilling the role of office secretariat and perform other job-related duties as requested
  • Prepare and submit monthly attendance record, LFU for district office
  • Maintain personnel records of District staff as per organization guideline
  • Maintain record of supplies and equipment received 
  • Establish and timely update the inventory records and conduct physical verification as required
  • Check and process invoice, bills and document received for payments and maintain financial transaction in accounting software timely
  • Orient the HFOMC/construction committee of BC construction/renovation on financial guideline, procedures, collect and submit the supporting documents for advance settlement timely
  • Support to supervisor for preparation of monthly fund forecast, ensure all expenses within assigned district budget and check completeness of all required supporting documentation for all payments vouchers
  • Prepare monthly financial reports including reconciliations of general ledger accounts
  • Prepare bank reconciliation and outstanding advance statement
  • Handle Petty cash as per OHW policy
  • Prepare tax reports for employees, vendors and contracts and arrange payments to tax office in a timely manner
  • Any other tasks assigned by the Supervisor

Job Specifications (minimum job requirements):

Academic qualifications and work experience: 

  • Bachelor’s degree in business administration, or equivalent. 
  • Minimum 2 years of work experience in finance, administration and logistic. 

Skills and abilities

  • Experience utilizing computers including knowledge of MS Excel, MS Word, MS Office, Accounting software. 
  • Fluency in both oral and written in English and Nepali language.
