Background of the Organization
Association for IDEA (Integration, Dignity, Economic and Advancement) Nepal is a national-level not-for-profit making non-government organization run by the people affected by leprosy. The organization was established in 1998 A.D. with the major aim of safeguarding the dignity of the people affected by leprosy and people with leprosy-related disabilities.
Since the organization is founded by the people affected to the people affected, the organization is tirelessly working to reduce the discrimination and stigma related to leprosy. Advocacy for a dignified life, psychosocial care for good mental health support for the perfect well-being and sound livelihood for the people affected by leprosy are the major concerns undertaken by the organization. Of late, the organization is present across the country through the provincial committees for the extension of the service, upliftment of dignity and the reduction of discrimination.
1. Position title: Admin and Finance Officer
Numbers: 1
Location: Kathmandu
Duration: Full time

Key Responsibilities:
- Prepare and record journal entries, including adjustments, for income and expenditure transactions.
- Create monthly income and expenditure statements, cash flow reports, and bank status reports.
- Prepare financial year-end schedules, including debtors and creditors, ensuring all accounting requirements, up to the trial balance, are complete.
- Reconcile all bank, control, and other accounts.
- Assist the Executive Director/Project Team in preparing annual organizational and project budgets.
- Liaise with and assist external auditors in relation to annual financial statements and related matters.
- Process all Petty Cash reconciliations, issuing cheques to float custodians as needed.
- Handle Salary tax calculations for the NGO in accordance with Nepal Tax Office and other statutory requirements.
- Ensure the security of funds and assets on the premises and assist in maintaining an assets register.
- Assist with funding submissions to the NGO's primary funders, corporate sponsors, and other donors.
- Assist in the preparation and renewal of legal, financial, and organizational agreements and arrangements under the guidance of the Executive Director.
- Organize and control the ordering, purchase, and maintenance of office equipment, supplies, and stationery.
- Ensure strict adherence to NGO policies and procedures.
- Promote a culture of health and safety, ensuring that team members comply with reasonable instructions from NGO management.
- Ensure timely submission of financial reports to donors by agreed deadlines and respond to issues related to reports.
- Perform other duties as determined by the Executive Director.
Qualifications:
- Semi-Qualified CA or Bachelor's degree in Finance, Accounting, Business Administration, or related field
- Minimum 2-years-experience in financial and administrative roles.
- Proficiency in accounting software (especially FAMAS) and MS Office Suite.
- Strong organizational, communication, and problem-solving skills.
- Proficiency in oral and written English.
- Knowledge of tax and labour laws and regulations.
- Ability to work independently and as part of a team.

Key Responsibilities:
- Plan, execute, and manage project activities in the field, ensuring alignment with project goals and objectives.
- Monitor project progress, track milestones, and ensure timely completion of project deliverables.
- Identify and address project challenges, risks, and opportunities.
- Provide administrative support to the program management team.
- Assist in the planning, coordination, and execution of programs and events.
- Maintain program documentation, records, and databases.
- Support Admin and Finance department in book keeping, bank works and procurement activities.
- Prepare reports and presentations for internal and external stakeholders.
- Communicate effectively with team members, partners, and participants.
- Help create and distribute program-related marketing materials.
- Participate in team meetings and contribute to brainstorming sessions.
- Other administrative tasks and special projects as assigned.
Qualifications:
- Bachelor's degree in business administration, communications, or a related field (or equivalent experience.
- Proven experience in project coordination, preferably in community development or NGO
- Strong project management and administrative skills, including planning, implementation, and evaluation.
- Excellent interpersonal and communication skills.
- Good command over English and Nepali Language
- Ability to work independently and as part of a team.
- Proficiency in MS Office Suite and data collection tools.
- Valid driver's license and willingness to travel to project sites.
