Reports To: Designated NSET Management/Program Representative

1. Background

National Society for Earthquake Technology - Nepal (NSET) is nonprofit non-governmental organization working for Mult hazard risk management sector. It implements and supports various programs and projects related to disaster risk reduction, earthquake safety, resilient construction, humanitarian response, community resilience, and other related areas.

NSET requires dedicated support for monitoring, evaluation, accountability, learning, documentation, reporting, and communication across its different projects and programs. The MEAL Officer will provide organization-wide MEAL support and will be assigned to different projects and activities according to NSET's requirements.

2. Purpose of the Position

The MEAL Officer will support NSET in strengthening its Monitoring, Evaluation, Accountability and Learning (MEAL) systems across projects and programs. The position will also support project documentation, reporting, communication, and graphic/design-related requirements as assigned.

3. Key Responsibilities

  • Develop and implement MEAL/monitoring plans, log frames, indicators, assessment tools, trackers, and reporting formats in line with project requirements. 
  • Monitor project progress, targets, activities, quality, outputs, outcomes, and timelines through regular follow-up and field visits. 
  • Verify project activities, results, beneficiary information, and supporting documentation to ensure data quality and compliance. 
  • Familiarity with data collection and management tools such as KoboToolbox, ODK, Google Forms, Excel, and other digital platforms. 
  • Support baseline, endline, PDM, needs assessments, evaluations, and other project assessments. 
  • Collect, compile, analyze, and present quantitative and qualitative data and provide evidence-based findings for project decision-making. 
  • Establish and manage beneficiary feedback and complaint-response mechanisms. 
  • Record, monitor, and follow up on feedback and complaints to strengthen accountability and responsiveness. 
  • Promote accountability, safeguarding, confidentiality, inclusion, and appropriate MEAL standards across projects. 
  • Document lessons learned, good practices, challenges, outcomes, and success stories. 
  • Support project review, reflection, learning, and coordination meetings and follow up on agreed actions. 
  • Prepare case studies, learning materials, reports, and other project documentation. 
  • Prepare tables, charts, dashboards, presentations, and progress summaries for project monitoring and reporting. 
  • Support project, organizational, and donor reporting by providing accurate, timely, and verified information. 
  • Maintain organized MEAL records, databases, evidence, monitoring documents, and digital archives. 
  • Prepare posters, brochures, factsheets, presentations, infographics, reports, banners, and social media materials using Canva and other appropriate design tools. 
  • Provide MEAL, documentation, communication, and visibility support to NSET projects as assigned. 
  • Perform other MEAL, documentation, communication, and project-related duties assigned by NSET management.

4. Required Qualifications and Experience

  • Bachelor’s degree in Development Studies, Social Sciences, Statistics, Management, Information Management, or a relevant discipline. Master's degree will be an advantage.
  • At least 2 years of relevant experience in MEAL, monitoring and evaluation, project documentation, data analysis, or related work.
  • Experience with NGO/INGO or development projects is preferred.
  • Good knowledge of MS Office.
  • Experience in data visualization and reporting is preferred.
  • Knowledge of graphic design tools such as Adobe Illustrator, Photoshop, or equivalent is an advantage.
  • Strong written and verbal communication skills in English and Nepali.
  • Willingness and ability to travel to project locations.

IT Officer

NSET requires dedicated IT and information management support across its different projects, programs, and office operations. The IT Officer will provide organization-wide IT, database management, information management, and technical support and will be assigned to different projects and activities according to NSET's requirements.

2. Purpose of the Position

The IT Officer will support NSET in managing and strengthening its information technology, database, information management, digital data collection, and data security systems across projects and programs. The position will also provide technical IT support to NSET's office and project teams as required.

3. Key Responsibilities

  • Provide technical inputs for managing NSET servers, networks, website, software, licenses, and other IT infrastructure.
  • Develop and maintain databases, digital data collection forms, trackers, and information management systems for NSET projects and organizational needs.
  • Collect, clean, verify, manage, and analyze project and organizational data, and prepare data summaries, tables, dashboards, and reports as required.
  • Provide IT and technical support for computers, software, printers, internet, online meetings, digital communication, and other office systems.
  • Provide technical support for digital surveys, GPS/location-based data, mapping, beneficiary registration, monitoring, training, and field activities.
  • Ensure regular data backup, security, confidentiality, access control, recovery, and proper management of electronic files.
  • Troubleshoot hardware, software, network, server, connectivity, and other IT-related issues.
  • Support staff and project teams in using digital tools, databases, and information management systems.
  • Maintain documentation of IT systems, databases, equipment, software licenses, and technical procedures.
  • Coordinate with MEAL, program, finance, procurement, administration, and technical teams on IT and information management requirements.
  • Ensure compliance with NSET policies, donor requirements, data protection, confidentiality, software licensing, and relevant IT standards.
  • Provide IT, database, and information management support to NSET projects and perform other duties assigned by NSET management. 

4. Required Qualifications and Experience

  • Bachelor's degree in Information Technology, Computer Science, Information Management, or a relevant discipline. 
  • At least 2 years of relevant experience in IT support, database management, information management, or related work.
  • Experience with NGO/INGO or development projects is preferred.
  • Knowledge of digital data collection platforms such as KoboToolbox, Google Forms, Open Data Kit (ODK), or equivalent is an advantage.
  • Knowledge of database systems such as MS Access, MySQL, SQL, or equivalent is an advantage.
  • Good knowledge of computer hardware, software, networking, and troubleshooting.
  • Strong written and verbal communication skills in English and Nepali.

Accounts Assistant

Reports To: Designated NSET Finance/Program Representative

1. Background

National Society for Earthquake Technology - Nepal (NSET) is a nonprofit, non-governmental organization working in the field of multi-hazard risk management. It implements and supports various programs and projects related to disaster risk reduction, earthquake safety, resilient construction, humanitarian response, community resilience, and other related areas.

NSET implements donor-funded projects that require sound financial management, proper documentation, timely financial reporting, budget monitoring, and compliance with organizational and donor requirements. Under the Alert N-30 project, NSET requires dedicated financial support to ensure that project expenditures are properly recorded, documented, monitored, and reported in accordance with approved budgets, NSET policies, and applicable donor requirements.

2. Purpose of the Position

The Accounts Assistant will support NSET in maintaining accurate financial records, proper documentation, budget monitoring, payment processing, financial reporting, and compliance for the Start Fund project.

The position will assist the Finance and Program teams in ensuring that project expenditures are properly authorized, recorded, supported by adequate documentation, and aligned with approved budgets and applicable NSET and donor requirements.

3. Key Responsibilities

  • Maintain accurate financial records, vouchers, ledgers, and supporting documents for the Start Fund project.
  • Process payments, advances, reimbursements, settlements, and other financial transactions in accordance with NSET policies and procedures.
  • Review invoices, bills, receipts, and payment documents for completeness, accuracy, and compliance.
  • Ensure proper coding and recording of expenditures against approved project budget lines.
  • Monitor staff and field advances and ensure timely settlement and reconciliation.
  • Assist with cash, bank, advance, and project account reconciliations.
  • Track project expenditures, budget utilization, commitments, balances, and budget variances.
  • Assist in preparing periodic financial reports, expenditure statements, and budget-versus-actual reports for NSET and the donor.
  • Coordinate with program, procurement, administration, and field teams to ensure timely and complete financial documentation.
  • Maintain well-organized physical and electronic financial records for reporting, audit, and project closure.
  • Ensure financial transactions comply with NSET policies, approved budgets, donor requirements, and applicable regulations.
  • Maintain confidentiality and security of financial information and documents.
  • Provide finance-related support to other NSET projects and perform other duties assigned by NSET management.

4. Required Qualifications and Experience

  • Bachelor's degree in Finance, Accounting, Management, Business Administration, or a relevant discipline.
  • At least 2 years of relevant experience in finance, accounting, financial administration, or related work.
  • Experience working with NGO/INGO or donor-funded development/humanitarian projects is preferred.
  • Knowledge and experience in project accounting, budget monitoring, payment processing, financial documentation, and financial reporting.
  • Good knowledge of MS Excel, MS Word, and accounting/financial management software.
  • Experience in maintaining financial records, advances, reconciliations, vouchers, and supporting documents.
  • Strong written and verbal communication skills in English and Nepali.
