1. Logistics Assistant
Reporting to: Logistics Officer (Required No: 1)
Location: Chauni, Kathmandu
Job Summary:
The Logistics Assistant supports day-to-day logistics operations to ensure timely receipt, storage, and distribution of Medical and Pharmaceutical products. The role focuses on documentation, inventory support, coordination with transporters, and compliance with healthcare quality standards.
Key Responsibilities:
- Assist with all activities involved in receiving, storing, and managing raw materials or inputs of medical and pharmaceutical products.
- Prepare Purchase Orders (POs) as per approved requests, track Purchase Orders, follow up on delivery status and maintain its record in a systematic order.
- Maintain inventory records including batch numbers, expiry dates and stock movements.
- Assist with stock counts, reconciliation and warehouse organization.
- Maintain accurate logistics records for audits and compliance.
- Support cold-chain logistics and temperature monitoring where required.
- Ensure proper handling, storage and transportation as per GDP guidelines.
- Proper filing and organizing the logistics documents for easy reference and audits
Qualifications & Skills:
- Bachelor’s degree in Pharmacy or any related field.
- 1–3 years of experience in logistics, warehouse, or supply chain operations
- Experience in pharmaceutical, medical device, or healthcare industry preferred
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ask questions and seek clarification from supervisor whenever there is any doubt related to documents, purchase orders, or logistics activities
- High attention to detail and accuracy.
- Basic knowledge of logistics and warehouse operations
- Understanding of pharmaceutical storage and handling requirements
- Good documentation and record-keeping skills
Working Conditions:

2. Logistics Officer (Required No: 1)
Reporting to: Logistics Manager/General Manager
Location: Chauni, Kathmandu
Job Summary:
The Logistics Officer manages the storage, movement and distribution of medical and pharmaceutical products, ensuring timely delivery, regulatory compliance and proper inventory management. The role involves coordinating with vendors, transporters and internal teams, maintaining accurate records and implementing best practices such as FEFO/FIFO to ensure product quality and minimize wastage.
Key Responsibilities:
- Plan, coordinate and execute logistics operations for pharmaceutical products and medical devices to ensure timely delivery to distributors, hospitals and institutional clients.
- Prepare dispatch schedules based on sales orders, production plans and regulatory timelines.
- Prepare, verify, and maintain logistics documentation such as invoices, delivery challans, packing lists, GRNs, e-way bills and transport permits.
- Handle import/export documentation and customs coordination where applicable.
- Communicate with suppliers, transporters and service providers.
- Select appropriate mode of transport based on cost, distance, and delivery timelines.
- Maintain accurate stock records in ERP/manual systems, ensuring batch-wise and expiry-wise tracking.
- Ensure proper storage conditions as per pharmaceutical standards (temperature, humidity, segregation).
- Supervise warehouse operations including loading, labeling and space utilization.
- Conduct periodic physical stock verification and reconcile discrepancies.
- Ensure safe handling and storage of medical product, including fragile, hazardous, or temperature-sensitive items.
Qualifications & Skills:
- Bachelor’s degree in Logistics, Supply Chain Management, Pharmacy, Business Administration, or a related field.
- 2–5 years of experience in logistics, warehouse, or supply chain operations
- Prior experience in pharmaceutical, medical devices or healthcare logistics will be an added advantage
- Knowledge of pharmaceutical logistics standards such as GDP (Good Distribution Practices).
- Understanding of inventory management, batch control, and expiry management (FEFO/FIFO).
- Ability to monitor and manage cold chain logistics and temperature-sensitive products
- Proficiency in MS Office (Excel, Word, Outlook)
- High level of integrity and accountability.
- Team-oriented with leadership capability.
- Ability to work under pressure and manage multiple priorities.
- Good communication and coordination skills for working with internal teams and external vendors.
- Effective problem-solving and decision-making abilities

3. Administration Officer (Required No: 3)
Reporting to: Director / General Manager / Administration Manager
Location: Chauni, Kathmandu
Job Summary:
The Administrative Officer is responsible for overseeing and coordinating the day-to-day administrative operations of the company, ensuring efficient and compliant execution of tender documentation, regulatory submissions, vendor coordination, and internal processes. This role requires strong leadership, a proactive approach to problem-solving, and a thorough understanding of administrative workflows, procurement processes, and regulatory compliance.
Key Responsibilities:
i. Documentation & Tender Management:
- Supervise the preparation, review, and finalization of tender documents, ensuring completeness, accuracy and compliance.
- Oversee timelines and coordinate with relevant teams to ensure timely bid submissions.
- Review all supporting documents (certificates, authorizations, quotations, etc.) for completeness and consistency.
ii. Regulatory & Compliance:
- Ensure that all activities comply with applicable government regulations, tender guidelines and internal policies.
- Manage and update records related to company licenses, tax clearances, PAN/VAT registration, insurance policies etc.
- Liaise with government offices and regulatory bodies as needed for submissions and renewals.
iii. Coordination & Liaison:
- Act as a key point of contact between departments, suppliers, manufacturers, and partners regarding administrative and regulatory matters.
- Coordinate with the customs agent, courier partners, and clients for documentation and import/export clearances.
iv. File & Data Management:
- Maintain an organized system for all administrative and regulatory documents, both physical and digital.
- Monitor contract timelines, renewal dates, and ensure all required data is tracked systematically.
v. Communication & Correspondence:
- Draft official letters, emails, and other correspondence related to tenders, contracts and inquiries.
- Represent the company in external communications related to administration and compliance.
vi. Reporting & Monitoring:
- Generate periodic reports on tender activities, submissions, contract status, and upcoming opportunities.
- Track competitor activities and changes in government procurement policies.
Qualifications & Skills:
- Bachelor’s degree in Pharmacy, Business Administration, Management, or a related field.
- Minimum 1 years of experience in a similar role, procurement, or government project documentation.
- Excellent written and verbal communication in both English and Nepali.
- Proficient in MS Office Suite (Word, Excel, PowerPoint), Adobe tools, and Nepali typing.
- Strong organizational and time management skills with attention to detail.
- Ability to multitask and work under pressure with tight deadlines.
Working Conditions:
- Full-time position based in Chauni, Kathmandu.
- May involve occasional field visits and overtime during tender deadlines or regulatory submissions.
