JOB DESCRIPTION

1. Job Title: Project Coordinator – Electric Cooking Projects

Location: Kathmandu with occasional field visit

Employment Type: Full-Time

Duration: 2 years (with possibility of extension)

Overview of the Role

The Project Coordinator will lead the implementation of electric cooking projects, ensuring timely delivery, stakeholder engagement, and effective monitoring. This role requires a dynamic individual with technical knowledge, field experience in renewal energy sector, and strong communication skills.

Details of Roles and Responsibilities

A) Project Planning and Implementation 

  • Develop comprehensive timelines and detailed implementation plan (Weekly, Monthly, Annual), Gantt Chart of the project
  • Coordinate, oversee and manage day-to-day operations of the electric cooking projects
  • Liaison with local government to ensure conducive environment for the implementation of project activities
  • Coordinate with internal and external resources, suppliers and third partiers
  • Proactively identify project risks and challenges beforehand and develop mitigation measures
  • Plan activities within the approved budget, timeline ensuring cost efficiency and effectiveness
  • Conduct regular filed visits to track progress, troubleshoot issues and ensure compliance with donor and organization standards
  • Prepare selection criteria of beneficiaries/institutions for support of electric cooking technologies
  • Prepare survey questionnaires for baseline/mid-term/endline for project initiation, implementation, progress and achievement.

B) Resource and Budget Management

  • Track and manage the project budget and resources efficiently and effectively. 
  • Ensure field activities are carried out smoothly within the approved program and budget.
  • Maintain proper records of daily expenses with bills/receipts.
  • Follow procurement guidelines for local purchases (bid document preparation, bid collection, documentation, approval etc).
  • Prepare and submit financial reports timely to the required party
  • Keep track record of project assets (cooking equipment, training materials, etc.).
  • Assist in preparing annual/quarterly budgets and monitor proper budget utilization.
  • Coordinate for the timely fund disbursement to field level and reconcile advances.
  • Analyze budget vs. actual expenditure and report deviations with justifications.
  • Prepare consolidated financial reports for donors 
  • Support donor financial monitoring and internal/external audits.

C) Community Mobilization

  • Conduct school assessment based on set criteria to finalize the participating schools
  • Mobilize communities and raise awareness on the promotion of electric cooking
  • Facilitate awareness events and sensitization programs on electric cooking technologies at the selected schools. 
  • Ensure meaningful participation of schools and beneficiaries over the period of project duration.

D) Performance Monitoring and Control

  • Monitor project progress against planned schedules, log frame and budget 
  • Track key performance indicators to meet the quality and standards of the project 
  • Adapt and adjust project plans, schedule or budget as necessary to meet project requirements.
  • Provide technical backstopping to users to increase usage rate of electric cooking technologies 
  • Prepare and maintain database of each activity
  • Conduct financial assessment/ cost savings of electric cooking technologies along with greenhouse gas emissions calculations and fuel savings.
  • Collect and document success stories, challenges, lessons learned from the project interventions and capture photos and videos where relevant and support in replication of best practices
  • Ensure timely accomplishment of result-based indicators as guided by project proposal log-frame.
  • Mobilize and Supervise project staffs
  • Prepare periodic reports and other documents as required to be submitted to the donor and government offices.

E) Knowledge Management, Logistical Support and Capacity Building

  • Facilitate distribution, support and use of electric cooking technologies to schools. 
  • Coordinate with local resource person/service providers for external support in project intervention as per the requirement. 
  • Organize and facilitate workshops, training sessions and awareness campaigns on electric cooking technologies
  • Take lead in developing knowledge management materials of electric cooking projects

F) Stakeholder Engagement and Coordination

  • Conduct stakeholder meetings, build and maintain good relationships with Provincial and Local Governments, school management Committees, community leaders and relevant stakeholders
  • Ensure stakeholder satisfaction with project results and outcomes
  • Represent the organization and the project at all levels and advocate for alignment of the project into local level’s priorities
  • Maintain synergy and coordination with other development partners for the collaborative efforts for the smooth and result oriented implementation

G) Project Closing and Documentation

  • Ensure all project activities are completed to achieve the planned results
  • Secure appropriate project closing document with signature from school management upon project completion
  • Conduct post implementation reviews/ endline surveys to document lessons learned for future projects. 
  • Prepare project completion reports and submit to SWC, Donor and others as required

Minimum 5 years of professional experience, with at least 3 years in renewable energy or clean cooking projects
Technical Knowledge
Understanding of electric cooking technologies, behaviour change strategies, energy access, installation and related matters

Strong verbal and written communication skills, ability to engage with diverse stakeholders
Software Proficiency

Skilled in Microsoft Office package, especially

Microsoft Word, Excel and Powerpoint; data collection and analysis tools

2. Job Title: Project Officer – Electric Cooking Projects

Location: Kathmandu with field visit trips at project locations 

Employment Type: Full-Time

Duration: 2 years (with possibility of extension)

Overview of the Role

The Project Officer will support the planning, implementation, and monitoring of electric cooking initiatives. This role involves field coordination with frequent field travel, stakeholder engagement, data collection, and reporting to ensure successful delivery of project objectives.

A) Project Planning, Implementation and Support

  • Assist in developing detailed implementation project plans, schedules and budgets
  • Assist in the roll out of electric cooking technologies in target communities/institutions/schools.
  • Work with communities and local institutions to support behavior change and adoption of electric cooking appliances such as induction stoves and electric pressure cookers.
  • Coordinate with vendors, technicians, and technical team members for technology installations and after-sales service.

B) Stakeholder Engagement, Coordination and Communication

  • Coordinate project activities and tasks across different team members
  • Facilitate effective communication among team members with external stakeholders including government bodies, community leaders and others.
  • Represent the organization in local stakeholder meetings, workshops, and events.

C) Monitoring, Data Collection, Documentation and Reporting

  • Monitor project progress, identify risks and help mitigate issues and challenges
  • Conduct appropriate surveys as required and collect field data for monitoring and evaluation using data collection tools
  • Travel frequently to project sites to oversee field activities support field team and engage with the beneficiaries
  • Collect and record data on appliance usage, energy consumption, user experience, and social impact
  • Maintain project documentation, records and contracts, and prepare regular progress/ activity reports
  • Prepare progress reports, write case studies, and documentation for internal and donor use

D) Capacity Building, Resource, Event and Meeting Management

  • Assist in managing resources for the project implementation
  • Schedule and organize meetings, take minutes and share meeting minutes
  • Organize and facilitate training sessions, demonstrations, and awareness campaigns on electric cooking technologies
  • Develop educational materials, knowledge management documents and awareness-raising content in collaboration with other team members.

E) Procurement and Administrative Support

  • Support procurement and effective distribution of electric cooking appliances
  • Assist in logistical arrangement including procurement, inventory management, transport, and event organization.
  • Provide various administrative functions to support higher supervisors and teams. 
  • Assist project and office as required and as advised by the reporting officer

3. Job Title: Technical Officer – Electric Cooking Projects

Location: Kathmandu with frequent travel to project locations

Employment Type: Full-Time

Duration:12 months (with possibility of extension)

Overview of the Role

The Technical Officer will provide hands-on technical support for the design, implementation, and monitoring of electric cooking projects. This includes evaluating technologies, supporting procurement and installation, training stakeholders, and ensuring compliance with safety and performance standards.

A) Technical Oversight and Project Implementation

  • Oversee the technical aspect of the project including demonstration, installation, troubleshooting and maintenance of the equipment
  • Support the project team in planning, coordinating and executing project activities related to electric cooking solutions
  • Support the selection, procurement, and testing of appropriate e-cooking technologies based on local context.
  • Develop technical guidelines, standards, and quality assurance protocols for project implementation.
  • Conduct energy audits and load assessments to determine household, institutional, or community readiness for electric cooking adoption.
  • Resolve any technical issues or challenges that arise during the installation of electric cooking technologies.

B) Quality Assurance and Stakeholder Liaison

  • Conduct technical assessments/ inspections of electric cooking appliances and infrastructure and
  • ensure all installations comply with relevant standards, safety protocols and regulations
  • Serve as a technical point of contact, liaising with government authorities, utilities, project partners, suppliers, research institutions, development partners, contractors to ensure smooth project progress
  • Represent the organization in technical working groups, community meetings, and policy dialogues on clean cooking.
  • Collaborate with team members and community mobilizers to ensure integrated delivery
  • Ensure compliance with electrical safety standards and environmental regulations

C) Training and Capacity Building

  • Develop and deliver training materials for households, institutions, community groups, technicians, users, and partners on electric cooking use, maintenance and safety
  • Assist in the facilitation of any training and capacity building activities on electric cooking solutions
  • Develop user manuals, training materials, and awareness content in simple and localized language.

D) Knowledge Management, Reporting and Monitoring

  • Prepare and document technical reports, policy briefs, technology usage analysis, best practices and provide recommendations for the project
  • Prepare technical guidelines of installation considering safety protocols based on which installation of electric cooking technologies are done
  • Assist in piloting innovative cooking technologies and evaluating their scalability
  • Conduct field studies, baseline/endline surveys, and case studies on e-cooking adoption, performance, and user satisfaction.
  • Conduct site visits to monitor project progress, assess conditions, gather data for project evaluation and decision making
  • Analyze energy consumption patterns, affordability, and economic viability of electric cooking interventions.
  • Monitor performance and usage of electric cooking technologies in the field
  • Maintain a database of e-cooking technologies, suppliers, and market information.

E) Procurement Support

  • Assist with the technical aspects of the procurement of electric cooking technologies, ensuring project specifications.
