Project Background

Nepal is prone to a range of natural disasters, including floods, landslides, fires, earthquakes, and disease outbreaks. In the wake of recent tragedies in the country, including the massive 2015 Gorkha earthquake, USAID introduced Tayar Nepal activity. Tayar Nepal is USAID’s flagship disaster preparedness and response project for Nepal. Tayar—which means “prepared”—strengthens the capacity of Nepal’s disaster risk management (DRM) and preparedness institutions. At the national level, Tayar Nepal builds the capacity of disaster risk reduction and management (DRRM) institutions, which includes Ministry of Federal Affairs (MoFAGA), Ministry of Home Affairs (MoHA), National Disaster Risk Reduction and Management Authority (NDRRMA). At the municipal level, Tayar Nepal’s interventions support municipalities to fulfill their DRM roles in the broader federal disaster management system by building capacity in preparedness, response, and helping them understand and address the risks that face their constituents.

Summary of Primary Duties 

The Senior Field Operation Associate will assist field office operations including organizing field staff meetings on operation as required, managing logistics for events (technical meetings, workshops, events, etc.), and assisting other logistics & administrative needs.

Essential Duties

  • Support field team working closely with technical team and procurement team to manage project-related events (workshops, meetings, training, etc.) including developing the plan, coordinating logistics, events materials, invitations, etc. for western field event/workshop/ training.
  • Support field team arranging logistics for travel and processing travel advance settlement if required.
  • Support field team processing advance and the settlement with required supporting documents.
  • Field visit to support the event as required.
  • Assist to manage project inventory including recording, distributing, and update.
  • Assist to develop and maintain all operations-related contractual agreements/ purchase order, service agreements, and transportation service agreements; ensure all agreements are up-to-date, thoroughly documented, and active related.
  • Manage field office operation as require with proper maintenance of field vehicles 
  • Support for renewal of vehicle registration bluebook 
  • Other duties assigned by supervisor, Director of Finance & Administration DCOP, and Chief of Party

Qualifications

  • A Bachelor’s degree in Business Management or equivalent in a relevant field. 
  • At least 4 years/bachelor’s degree or 1 year/master’s degree in a related role required. (For excluded group at least 2 years with bachelor’s degree). 
  • Relevant experience working on USAID contracts in a related role is highly preferred. 
  • Strong attention to detail and organizational skills required.
  • Strong computer skills (MS Office suite) required.
  • Excellent written and verbal communication skills required. 
  • Fluent English required. 

Supervision

The Senior Field Operation Associate will work under the direct supervision of the Procurement Officer and in close coordination with the Operation Specialist. 

Level of Effort/Timeline

The level of effort is 260 days per year. The employment contract will be on a yearly basis, with possible extensions until on March 31, 2024.  Senior Field Operation Associate will be based in Tikapur, with frequent travel to priority Tayar’s six far-western municipalities and occasional travel to other parts of Nepal.
