RFQ: FOR SUPPLY AND DELIVERY OF INTERACTIVE SMART BOARDS

REQUEST FOR QUOTATION (RFQ) : A LONG-TERM AGREEMENT (LTA) FOR SUPPLY AND DELIVERY OF INTERACTIVE SMART BOARDS FOR SCHOOLS

World Vision International Nepal (WVI Nepal), located at Kusunti, Lalitpur-13, intends to procure Interactive Smart Boards in accordance with the specifications provided below. The procurement is intended to establish a Long-Term Agreement (LTA) for a term of 1 year with a qualified and authorized supplier(s) to meet WVI Nepal’s current and future requirements. As part of its initial requirement, WVI Nepal requires the immediate supply of more than a dozen units. Additional quantities may be procured from the selected supplier(s) during the validity period of the LTA, based on WVI Nepal’s operational requirements

Accordingly, WVI Nepal invites quotations from interested and authorized suppliers for the supply and delivery of Interactive Smart Boards. Suppliers are requested to provide their unit prices and applicable terms for both the immediate requirement and potential future purchases under the LTA.

The detailed item specifications, along with the terms and conditions governing the quotation and LTA process, are outlined below. (Refer annex 1 for detailed specifications)

BID INSTRUCTION:

• Clearly specify the lead time required for delivery of each item, calculated from the date of receipt of the Purchase Order (PO)
• All Quotation must be submitted on or before end of the day of 23rd August 2026
• All quotations must be submitted to npl_scmbid@wvi.org 
• Offered product specifications shall be equivalent to or higher than those specified in Annex 1
• Proposed rate shall be inclusive of the delivery charge

After-Sales Service Commitment

WVI Nepal and its implementation partners anticipates the bidding firms to agree and provide comprehensive after-sales service support, including the collection and delivery of goods requiring repair to and from their respective location. This service is part of our commitment to ensuring the continued functionality of and satisfaction with the supplied goods.

Terms and Conditions:

1. Quotations received after the specified date and time of the invitation will not be considered.
2. Submission of company registration certificate, VAT/PAN certificate, and copy of latest tax payment certificate is required.
3. Quoted rate should be inclusive of all VAT, taxes and other necessary costs if required. Applicable Taxes will be deducted at source as per Government of Nepal Rules & Regulations.
4. The goods shall be delivered to the designated school or location as specified in the purchase order and delivery schedule.
5. WVI Nepal reserves the right to accept or reject any bid or to cancel the bidding process and reject all bids, at any time prior to the award of the contract, without assigning any reasons whatsoever and without thereby incurring any liability to the affected Bidder or Bidders.
6. The contract will be awarded in accordance with WVI Nepal’s evaluation criteria, and the successful bidder/(s) will be notified at the earliest date possible.
7. Payment will be made within 30 days after receipt of goods, successful inspection and approval by the WVI ICT team, and submission of an undisputed invoice. If there shall be any objections or specific expectations regarding payment terms, please state them in writing. Payment will be processed via online bank transfer in favor of your company.
8. The LTA does not constitute a commitment to purchase any minimum quantity or value. Any procurement under the LTA shall be subject to a separate formal Purchase Order (PO) or, where applicable, a separate agreement issued/entered into by WVI Nepal or its Partner NGO based on specific requirements.
