REQUEST FOR SEALED QUOTATION FOR THE PROCUREMENT OF HOSPITALITY SERVICE

KOSHISH, a national mental health self-help organization working in the field of psychosocial disability, inclusion, and community-based mental health support across Nepal, invites sealed quotations from eligible and interested hospitality service providers for providing services for an upcoming official meeting from 17th December to 19th December 2025 in Chitwan.

1. Scope of Services Required

The hospitality service provider is required to supply the following:

1.1 Full Board Accommodation:

1.2 Conference Hall

The hotel/service provider must ensure the availability of an appropriate conference hall as follows:

• 17-18th December 2025: Conference Hall capacity for 35–45 participants.
• 19th December 2025: Conference Hall capacity for 75–90 participants

The hall must include:

• A/C conference hall with proper seating arrangement
• P.A. system with podium
• High-quality projector and screen
• Reliable high-speed Wi-Fi
• Adequate lighting and ventilation
• Accessible and clean restroom facilities
• Drinking water availability throughout the event

2. Eligibility Criteria

Interested hospitality service providers must:

• Be legally registered and licensed to operate in Nepal
• Have valid VAT/PAN registration
• Provide tax clearance certificate for FY 2081.082 or FY2080.81 tax clearance certificate with verified tax filing extension for 2081.82.
• Have experience in hosting similar official meetings or events
• Have adequate infrastructure to provide the required services
• Comply with national and local health and safety standards

3. Submission of Sealed Quotation

Sealed quotations must be submitted by hand to KOSHISH central office at Aashramarga, Balkhu, Kathmandu on or before 5:00 PM, 10th December 2025. Quotations received after the deadline will not be considered. However, If the last date of submission falls on a government holiday, the next working day will be considered the final submission date. The validity period will remain unchanged.

Sealed quotation must include following documents:

• A financial proposal (Quotation)
• A company profile
• An updated Company Registration/Firm Registration document
• A Pan/Vat Registration Certificate
• Tax Clearance Certificate (FY 2081-082) or Tax Clearance Certificate (FY 2080.81 along with IRD verified Date Extension of filing in case of extension of return filing as per Income Tax Act 2058.

4. Evaluation and Selection Process

• All sealed quotations will be reviewed based on compliance, eligibility, and completeness.
• Only shortlisted service providers may be contacted for clarification (if required).
• KOSHISH reserves the right to accept or reject any or all quotations, wholly or partly, without assigning any reason.
