Remote Contract Role – Healthcare Document Management & Digitalisation Project (Nepal-Based)

We are a growing Australian healthcare organisation operating across multiple entities, seeking a specialist in document management and digitalisation to help us build our document systems from the ground up. This is a remote, flexible-hours contract project that can be completed from Nepal.
This is not a general administration or formatting role. We are looking for someone with genuine expertise in document management systems, digital form creation, and compliance documentation. You will be building two distinct but equally important workstreams — one focused on digitalising client-facing and HR documents for electronic signing and online access, and one focused on establishing a structured, version-controlled compliance document library across multiple organisations. Both require precision, systems thinking, and strong hands-on technical capability.
Key Responsibilities
Workstream 1 — Client-Facing and HR Document Digitalisation
- Redesign service agreements, employment contracts, intake forms, consent forms, and privacy documents into clean, professional templates ready for digital use
- Set up these documents for electronic signing so that both the client and the provider can sign digitally — accessible via email link, on a tablet in person, or through our website
- Build fillable PDF versions of forms where required
- Recommend and implement a suitable digital signing and form management platform — with strong preference for platforms that are Australian-based or store data within Australia, support multiple entities under a single subscription, and allow multi-user access across organisations
Workstream 2 — Compliance Document Library and SharePoint System
- Organise and maintain a large library of policies, procedures, compliance documents, and internal forms — these will remain as Word documents but must be professionally formatted, consistently structured, and personalised for each entity with matched branding and colour coding
- Content across entities will be largely the same, but each document must carry the correct entity name, logo, and brand identity
- Build and maintain a Microsoft SharePoint environment across all entity sites, including a clear sitemap or flowchart structure
- Implement a document version control system and a document control register
- Set up two tiers of document access — editable master copies for authorised staff, and read-only versions for staff, contractors, and relevant external parties
Across Both Workstreams
- Manage document personalisation efficiently across multiple organisations without duplicating unnecessary work
- Ensure confidentiality and professional handling of all organisational documents throughout the project
- Provide platform and tool recommendations with justification, cost awareness, and consideration for Australian data sovereignty
Qualifications (One or More Preferred)
- Public Health
- Health Administration
- Law or Paralegal Studies
- Or a related field
Required Skills
- Demonstrated experience in document management systems — not just document formatting
- Strong Microsoft Word skills (formatting, templates, styles)
- Solid working knowledge of Microsoft SharePoint and OneDrive
- Understanding of document version control and document control registers
- Good written English and professional communication
- High attention to detail and strong organisational skills
- Ability to work independently, manage your own schedule, and meet deadlines
- Reliable internet connection and own computer or laptop
Bonus Skills (Preferred, Not Essential)
- Experience with digital signing platforms or online form builders
- Experience with compliance documentation in a healthcare or regulated environment
- Experience working with international organisations or clients
Work Arrangements
- Fully remote — work from home with flexible hours (you manage your own schedule)
- Report directly to the Operations Director based in Sydney, Australia
- Communication via email and video meetings (Google Meet or Zoom)
- Project duration: 4 to 8 weeks
- Total project fee: NPR 50,000, paid in fortnightly instalments as work is progressively completed, with final payment on satisfactory sign-off
