As we continue to grow and enhance our operations, we are seeking a reliable and customer-oriented individual to join our team as a Receptionist / Billing Assistant. This dual role combines front desk receptionist duties with billing and invoicing responsibilities, making it an integral part of our administrative team.

Responsibilities

  • Welcome and greet guests in a warm and friendly manner.
  • Answer and direct incoming calls promptly and professionally.
  • Manage and distribute incoming and outgoing mail and packages.
  • Assist with administrative tasks, including data entry, filing, and organizing documents.
  • Respond to inquiries and provide basic information about the company and its services.
  • Schedule appointments and manage calendars for various departments.
  • Coordinate with other team members to ensure smooth operations at the front desk.
  • Handle customer complaints or escalate them to the appropriate personnel if needed.
  • Monitor and maintain office supplies inventory and place orders when necessary.
  • Follow company policies and procedures to ensure security and confidentiality of data.
  • Generate and issue accurate and timely invoices to customers.
  • Review billing data for completeness and accuracy before invoicing.
  • Coordinate with the sales and service departments to gather necessary billing information.
  • Verify discrepancies and resolve customer’s billing issues.
  • Maintain and update customer billing records in the database.
  • Prepare and distribute regular billing reports to management.
  • Ensure compliance with billing policies and procedures.
  • Handle customer inquiries related to billing and payments.
  • Stay updated with industry trends and regulations related to billing and invoicing.
  • Train and mentor junior billing staff if applicable.
  • Perform any other duties as assigned by the management.

Candidate requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Strong proficiency in billing software and accounting systems as well as basic computer software (MS Office, Emails)
  • Excellent communication and interpersonal skills with fluency in Nepali/English Language.
  • Professional appearance and courteous mannerism.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy in handling tasks.
  • Ability to remain calm under pressure and handle various personalities.
  • High School or Diploma, additional certifications will be a plus.
  • Proven work experience as a Billing Assistant, Billing Coordinator, or similar role.
  • Excellent mathematical and analytical skills.
  • Detail-oriented and accuracy in data entry and record-keeping.
  • Strong organizational and time-management abilities.
