About the Organizations
Alliance Asia Nepal Pvt. Ltd. (AAN) is a development consulting firm providing technical assistance, advisory services, research, project management, and implementation support across diverse development-sector thematic areas. AAN works with international development agencies, donors, government institutions, private-sector organizations, and other partners to design and deliver impactful solutions.
Business Advantage Pvt. Ltd. (BA) is a Kathmandu-based marketing communications, advertising, and strategic advisory company working with private, public, development, and institutional clients. The company provides services in strategic communications, branding, creative development, marketing, advertising, stakeholder engagement, and business development.
AAN and BA are collaborating on a combined project requiring integrated program management, coordination, communications, stakeholder engagement, documentation, and business development support. The selected Program Officer will therefore work across the joint project and coordinate closely with both organizations and their respective teams.
About the Position
The Program Officer will be responsible for supporting the planning, coordination, implementation, documentation, communications, stakeholder engagement, and business development activities of the joint project undertaken by Alliance Asia Nepal and Business Advantage.
The position requires a highly organized, proactive, and adaptable professional who can work across development-sector programming and strategic communications. The Program Officer will coordinate with senior management, technical experts, consultants, creative and communications teams, partners, clients, donors, and other stakeholders to ensure that project activities and deliverables are completed on time and to a high standard.
The role will also support proposal development, opportunity tracking, research, knowledge management, project reporting, and institutional communications for both organizations where relevant to the joint assignment.
Key Roles and Responsibilities
1. Project Planning, Coordination and Implementation
- Support the planning, coordination, and implementation of assigned project activities and deliverables.
- Develop and maintain project workplans, timelines, trackers, schedules, and activity plans.
- Coordinate with technical experts, consultants, creative teams, partners, and internal staff to ensure timely delivery of project outputs.
- Monitor project progress against agreed timelines, milestones, and deliverables.
- Identify implementation challenges and support management in developing timely solutions.
- Coordinate meetings, workshops, consultations, and other project activities.
- Follow up with relevant team members to ensure completion of assigned tasks and deliverables.
2. Project Documentation and Reporting
- Maintain organized and up-to-date project files, records, databases, trackers, and supporting documentation.
- Prepare meeting minutes, action points, progress updates, activity reports, and other project documentation.
- Maintain project calendars and monitor key milestones and deadlines.
- Support the preparation of client, donor, partner, and management reports.
- Ensure project documentation is maintained in accordance with organizational standards.
- Support the collection, organization, and presentation of project data and evidence.
3. Communications and Content Development
- Support the development of content for clients, partners, donors, and external stakeholders.
- Coordinate with communications and creative teams on project-related content, campaigns, presentations, reports, case studies, and other materials.
- Assist in developing compelling narratives and communications materials that effectively showcase project activities, results, and impact.
- Support the preparation of presentations, briefs, newsletters, social media content, and other external communications where required.
- Ensure communications materials are accurate, consistent, professional, and aligned with project objectives.
4. Stakeholder Coordination and Relationship Management
- Coordinate professionally with clients, donors, development partners, government institutions, consultants, technical experts, creative teams, and other stakeholders.
- Support regular communication and follow-up with project stakeholders.
- Participate in meetings, consultations, networking events, and other external engagements as required.
- Maintain professional relationships with project partners and support opportunities for future collaboration.
- Represent the organizations professionally when delegated to do so.
5. Research and Business Development Support
- Conduct research on relevant sectors, clients, donors, development priorities, market trends, and potential opportunities.
- Monitor relevant calls for proposals, tenders, EOIs, RFPs, consultancy opportunities, and partnership opportunities.
- Maintain and update the project and business development opportunity pipeline.
- Support the preparation of EOIs, proposals, concept notes, technical submissions, presentations, and other business development documents.
- Coordinate inputs from technical, financial, administrative, communications, and creative teams during proposal preparation.
- Assist in identifying potential partners and opportunities for strategic collaboration.
6. Information and Knowledge Management
- Maintain organizational and project databases, information repositories, and knowledge management systems.
- Organize project resources, templates, reports, presentations, credentials, case studies, CVs, and other relevant materials.
- Ensure information is accurate, accessible, properly organized, and appropriately managed.
- Support the development and maintenance of institutional knowledge-management systems.
- Document lessons learned, good practices, project achievements, and relevant insights.
7. Administrative and Operational Support
- Support the preparation and coordination of contracts, agreements, MoUs, consultant documentation, and other project-related administrative documents.
- Assist with project-related expense documentation and coordination with the finance/administration team.
- Support the organization of meetings, workshops, events, travel, logistics, and other project activities.
- Maintain relevant worksheets, trackers, schedules, and administrative records.
- Provide other reasonable administrative and coordination support required for effective project implementation.
8. Cross-Organizational Coordination
- Work closely with both Alliance Asia Nepal and Business Advantage teams to ensure effective coordination under the joint project.
- Understand the different operational, technical, communications, and business requirements of the two organizations.
- Facilitate smooth information flow between teams and ensure timely follow-up on joint activities.
- Coordinate shared deliverables and ensure that responsibilities are clearly tracked and completed.
- Maintain professionalism, confidentiality, and neutrality while working across both organizations.
Required Qualifications and Experience
- Bachelor's degree in Business Administration, Development Studies, Communications, Public Relations, Social Sciences, or a related field.
- Minimum 1–2 years of relevant professional experience in project coordination, program management, business development, communications, administration, consulting, or a related field.
- Experience working in the development sector, consulting, communications, or with development-sector clients will be an advantage.
- Experience coordinating multiple stakeholders, consultants, or project teams is preferred.
- Familiarity with development-sector projects, donor requirements, proposals, EOIs, RFPs, or tenders will be an advantage.
Required Skills
- Excellent written and verbal communication skills in English.
- Working proficiency in Nepali.
- Strong project coordination and organizational skills.
- Excellent ability to manage multiple tasks, priorities, and deadlines.
- Strong writing, editing, research, and analytical skills.
- Proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint.

Work Arrangement
This is a full-time position based in Kathmandu. The selected candidate will work across the joint assignment of Alliance Asia Nepal and Business Advantage, with regular coordination and onsite work at the Alliance Asia Nepal office and engagement with the Business Advantage team as required by project activities.
The role may require flexibility in working arrangements depending on project deadlines, meetings, events, field activities, and client requirements.
