Handicap International Federation (HI) is an independent and impartial aid organization, created in 1982, working across 63 countries. HI works alongside the vulnerable populations, whatever the context, taking action to respond to their essential needs, improve their living conditions and promote respect for their dignity and fundamental rights. Present in Nepal since 2000, HI works through a network of local partner organizations in the area of health and physical rehabilitation, inclusive education and resilience including emergency response to improve the living conditions and involvement of the most vulnerable populations in Nepal. 

HI Nepal is a part of a South Asia Regional Programme where in the region, HI's interventions specifically include physical rehabilitation, inclusive education, inclusive disaster risk reduction, inclusive economic empowerment, local development, emergency response and so on. 

The HI Nepal programme invites applications from interested Nepal nationals for the following position for the emergency projects:

Position: Logistics and Admin Officer

Project: Emergency

Location: Nuwakot/ Rasuwa, Nepal

Number of positions: 01 

Terms & Conditions: Fixed term contract  

Duration: As soon as possible– December 31, 2026

Main mission

The Logistics and Admin Officer for emergency project are responsible for providing logistics, procurement, administrative and operational support to ensure the timely and smooth implementation of emergency projects.

The role includes coordinating procurement and supplies, managing assets and equipment, supporting transportation and travel arrangements, maintaining administrative records, ensuring compliance with HI procedures and donor requirements, and providing responsive support to field and project teams in a fast-changing emergency environment.

Responsibilities

1. Procurement and Supply

  • Process and follow up Purchase and Service Requests (PSRs).
  • Collect quotations, support supplier selection and prepare procurement documents.
  • Follow up suppliers and ensure timely delivery of goods and services.
  • Conduct market assessments and maintain updated supplier information.
  • Ensure procurement is properly documented and compliant with HI and donor procedures.

2. Stock, Equipment and Assets

  • Ensure proper receipt, storage and dispatch of project materials.
  • Maintain accurate stock, equipment and asset records.
  • Conduct regular physical stock and inventory checks.
  • Ensure equipment is properly tagged, maintained, allocated and tracked.
  • Report loss, damage or discrepancies promptly.

3. Transport and Travel

  • Arrange vehicles and transportation for staff, project materials and equipment.
  • Monitor vehicle movements, logbooks, fuel and maintenance.
  • Support hotel booking, tickets and other approved travel arrangements.
  • Ensure transport activities follow HI safety and security procedures.

4. Administration and Facilities

  • Support the smooth functioning of project offices and field locations.
  • Coordinate office supplies, utilities, repairs and service providers.
  • Support arrangements for meetings, trainings and project activities.
  • Maintain accurate logistics and administrative documentation.

5. Emergency and Field Support

  • Respond quickly to urgent logistics and administrative needs.
  • Support rapid mobilisation of supplies, equipment, transport and services.
  • Coordinate closely with Programme, Finance, HR and field teams.
  • Visit emergency project locations and provide operational support as required.
  • Identify logistics constraints and propose practical solutions.

6. Reporting and Compliance

  • Maintain complete hard-copy and electronic files.
  • Update logistics monitoring tools and prepare regular reports.
  • Support donor monitoring, internal controls and audits.
  • Ensure compliance with HI policies, donor requirements, safeguarding, anti-fraud and anti-corruption procedures.

Academic Qualification and Experience:

Academic: 

Bachelor’s degree in business administration / business studies / commerce / management / Logistics / Supply Chain Management or any other relevant disciplines. 

Experience:

Experience At least 3 years’ experience in Logistics /Procurement /Supply Chain preferably in development and humanitarian context. 

Additional Requirements: 

  • NGO/INGO or humanitarian emergency experience is an advantage.
  • Good Inter-personal communication skills in both Nepalese and English
  • Computer skills Must be excellent in MS Excel, Word & E-mail communication.
