Invitation for Submission of Proposal for Conference Venue, Accommodation & Catering and Services

Centre for Mental Health and Counselling – Nepal (CMC-Nepal) invites Expressions of Interest (EOI) from eligible hotels, resorts, conference centers, and event management service providers within the periphery of Kathmandu Valley for hosting and providing logistics support for a conference scheduled in September 2026.
Scope of Services
The selected service provider shall be responsible for providing the following services:
Accommodation and Meals
- Residential
for approximately 10–15 international & national delegates on single
and twin-sharing basis.
- Accommodation
- Dinner & Breakfast
- For Conference
- Venue (Hall) with seating arrangement for approximately 40–60 participants on Banquet setting.
- Breakfast, Tea/Coffee with cookies & Lunch
- Appetizers and dinner (1 time)
- Venue management and support services throughout the conference period.
Additional Requirements
- Well-equipped conference hall with appropriate seating arrangements.
- Sound system, microphones, and necessary audio-visual facilities.
- Adequate event support staff.
- Sufficient parking and standard venue facilities.
Eligibility Requirements
Interested firms must submit the following documents:
- Copy of Company Registration Certificate.
- Copy of VAT Registration Certificate.
- Latest Tax Clearance Certificate.
- Company profile highlighting relevant experience in organizing conferences, workshops, seminars, or similar events.
- Detailed financial proposal.
Submission of EOI
Interested service providers are requested to submit their Expression of Interest along with the required documents and financial proposal in a sealed envelope to CMC-Nepal within the stipulated deadline within 1 month from the date of the publishment.
CMC-Nepal reserves the right to accept or reject any or all applications and proposals, wholly or partially, without assigning any reason whatsoever.
