One Heart Worldwide (OHW) is an International Non-Governmental Organization that has been working in the area of Maternal and Neonatal Health (MNH) since 2011. OHW works with local communities and local health service providers to develop a culturally appropriate Network of Safety around mothers and infants, by raising awareness, teaching good practices, and distributing essential equipment to ensure that mothers and infants survive delivery and the first months of life.

VACANCY ANNOUNCEMENT

Position: Administrative Officer

Duty Station: Kathmandu

The Administrative Officer will provide executive secretarial and administrative support for smooth office operations. The role handles calendars, correspondence, travel arrangements, meeting follow-ups, front desk functions, office logistics, vehicle administration, and supervision of support staff to maintain a well-organized and effective workplace. 

Major Duties and Responsibilities:

Office Secretariat duties

  • Set calendars, schedule appointments, and travel arrangements for senior leadership.
  • Screen and manage calls, emails, and correspondence on behalf of leadership, maintaining professional communication standards.
  • Handle sensitive and confidential information with a high level of professionalism and integrity.
  • Track action items of executive meeting notes and follow up on assigned tasks.

Front Desk & Administrative duties

  • Manage the office front desk and handle office calls.
  • Provide logistic support in office meetings, events and recruitment process.
  • Handle office petty cash: custodian, claims and replenishment.
  • Staff travel arrangements - air ticketing for field mobility
  • Ensure timely payment of office utilities - water and electricity
  • Collect and process staff medical insurance claims.
  • Handle OHW vehicle mobility, proper log records and registration renewals
  • Supervise support staff for office housekeeping and security of office premises.
  • Other related duties as assigned by the supervisor.

Qualifications & Experiences

  • Bachelor’s degree in Business Administration/ Management or in a related field
  • Minimum of four years of experience in a similar role and responsibilities

Required Skills & Attributes

  • Proficiency in Microsoft Office, Google Workspace and Nepali typing.
  • Strong written and verbal communication skills
  • Ability to work independently and collaboratively
  • Proactive, self-motivated and adaptable in fast-paced environments
