Position: Administrative Finance and HR Intern (Trainee)
Location: Kathmandu
Reports to: ASIA Admin, Finance and HR Officer
Duration: 6 months
Salary: NPR 35,000 gross per month (excluding the pro-rata Dashain bonus).
Association for International Solidarity in Asia (ASIA) is an Italian international non-governmental organization (INGO) that has been working in Asia since 1988 to promote sustainable development, humanitarian assistance, and community resilience. Registered in Nepal since 2009, ASIA Nepal implements development and emergency response programmes in partnership with local communities, government institutions, and civil society organizations. Its work focuses on sustainable agriculture and food security, WASH, education, livelihoods, environmental protection, and disaster preparedness and recovery, with a strong commitment to community participation, cultural diversity, and long-term sustainable impact.
ASIA Nepal is currently seeking an Administrative, Finance and HR Intern (Trainee) to provide administrative, financial, and operational support, contributing to the efficient functioning of the Administration, Finance, and HR department.
Key Responsibilities:
Administrative & HR Support
- Maintain proper filing of administrative documents.
- Support day-to-day administrative and office operations.
- Assist in procurement documentation and preparation of comparative sheets.
- Coordinate document dispatch and correspondence.
- Support travel, accommodation, and transportation arrangements for staff.
- Monitor office supplies and coordinate restocking when required.
- Prepare meeting minutes, memos and letters to various organizations as required.
- Maintain leave and other HR records of the staff.
- Support recruitment activities including coordinating with vacancy announcements, application management, and interview scheduling.
- Support HR compliance with applicable labor laws and regulations. Perform other administrative duties as assigned.
Finance Support
- Preparation and processing of vouchers and supporting documents.
- Verify bills, invoices, receipts and other financial documents and check whether documentation is carried out as per financial guidelines.
- Assist in recording financial transactions in accounting system.
- Support vendor and staff payment documentation.
- Support to prepare monthly bank reconciliation statement.
- Assist in preparing financial documents required for external audits.
- Assist in timely payment of TDS and other local taxes.
- Assist in monitoring the administrative and financial compliance of partner NGOs in accordance with organizational policies, grant agreements and donor requirements.
- Follow up with relevant staff and partners for timely submission of required documents.
- Review financial documents and monthly financial report from partners and provide feedback to supervisor.
Qualifications and Skills:
- Bachelor’s degree in Business Studies, Business Administration.
- Basic knowledge of MS Office applications.
- Willingness to learn administrative and financial procedures.
- Good communication and writing skills in Nepali and English.
- Ability to maintain confidentiality and work with integrity.
- Work experience in related fields, preferably in development sector, is an advantage.
