Under the overall guidance of the Executive Director and direct supervision of the Project Coordinator, the Admin and Finance Officer shall shoulder the overall responsibility of admin and finance of the (Forum for Community Upliftment System).

The Admin and Finance Officer carries out tasks in accordance with the programme budget, the policies and systems of (Forum for Community Upliftment System) and donor agencies.

Demonstrates commitment to (FOCUS Nepal) core values. 

Displays cultural, gender, religious, ethnicity and age sensitivity and adaptability. 

Work prioritization, the ability to multitask and willingness to go the extra mile to support what the job demands is a must. 

Ability to maintain a high level of accuracy confidentiality concerning financial and employee files. 

Good planning and coordination skills to ensure a wide variety of activities, often with an urgent nature, to be carried out in an efficient and economic manner. 

Short description
  • Proper documentation of financial transactions- maintaining accounting records of day-to-day transactions, produce reports on the accounting records, 
  • To do all financial tasks like Preparing Voucher, ledger posting etc 
  • Petty Cash handling 
  • Perform bank work and other payment, 
  • Prepare monthly, quarterly & annual financial report, 
  • Collection of financial invoices/bills, 
  • Calculation of Vat, Tax and other deduction to deduct from the source while making payment, 
  • Operate the bank accounts, prepare draft and arrange for fax transfers against the payment of services and supplies as necessary 
  • To managing the process of the Internal Audit, Doner audit and Annual Audit. 
  • Prepare monthly financial report & submitted to Donner.
  • Assist the Program Coordinator on various activities of the organizations. (i.e budget planning, HR documentaton, personal file updated, leave record of staffs etc)
  • Participate in the meetings, workshops and seminars 
  • To be in regular communication & coordination with relevant agencies 
  • Maintain and update the office filing system, 
  • Maintain equipment and fixed assets in good running condition. 
  • Arrange the venue for the seminars and meetings, 
  • Proper documentation of admin related documents and office document 
  • Maintain stock book assets, record book, physical verification of Inventory and reporting 
  • Maintain confidential records and files 
  • Procure goods and services based on the organization rules & regulations 
  • Maintain the personal record of staffs 
  • Arranging executive board, procurement and recruitment committee meeting and preparing minutes of those meetings 
  • Supervising and controlling of office vehicles and equipment
  • Perform other related duties as assigned 
Communication and Reporting lines

Admin and Finance Officer reports to Project coordinator on all issues related to personnel management & general management. Specifically, Admin and Finance Officerwill be

  • Provided overall administrative and financial management support by finance and admin Officer.
  • Admin and Finance Officer reports to Project Coordinator on all issues related top personal management
  • Monthly Reporting to Project Finance Officer for donner agencies.

Professional skills and qualifications needed in the position

  • Bachelor’s degree in Management with 3 years of relevant experience 
  • Experience of working in Humanitarian response programme
  • Good communications, coordination and facilitation skills with knowledge on Finance and Admin
  • Tactfulness and excellent interpersonal skills 
  • Proficient in the use of FAMAS, Microsoft Office package and other smart finance tools
  • Good communication skills both in English and Nepali
  • Familiar with and abide by humanitarian laws,  international frame works and other regulatory codes like SPHERE standards,
  • Ability and willingness to work in team and to work under 
  • Committed to rights based and gender sensitive work
