In response to the 7.8 magnitude earthquake that struck Nepal on April 25, the Spanish Red Cross (SpRC) is seeking an experienced finance/administrative officer to work with our partner, the Nepal Red Cross Society (NRCS), in the recovery operation. The earthquake recovery operation aims to build community resilience through an integrated approach that includes livelihoods options, which are linked to water, sanitation, hygiene and health strategies, using community mobilization while strengthening the NRCS at the National Headquarters (NHQ) and Chapter levels.

Job purpose

Spanish Red Cross Nepal Delegation needs a Finance- Admin. Assistant S/He will process the daily and monthly financial information and assist with the management and administration of finance duties. S/He will ensure the financial records comply with SpRC , NRCS and IFRC regulations, policies and procedures by accurately processing and reviewing journal entries and vouchers. Contribute to the maintenance of all financial transactions and provide support to achieve overall delegation objectives. The Finance- Admin. Assistant will report to Country Administrator delegate for SpRC based in Kathmandu.

Job duties and responsibilities

The scope of work shall comprise but not necessarily be limited to the following:

  • Maintains all primary financial records in the accounts office and ensure that these records are accurate and up to date
  • Maintains a filing directory of files for accurate, consistent and shelving/archiving
  • Scans or copy all payment vouchers electronically
  • Disburses cash and checks; ensures proper security of cash, both in the safe and in transit. 
  • Conducts cash count with Country Administrator Delegate.
  • Ensures that all expenses have supporting documents according with Spanish Red Cross regulations (approval notes, goods received notes, invoices, receipts, etc.).
  • Ensures that all payment request forms, invoices, receipts and any other payment documents are critically checked for accuracy and correctness and has met minimum accounting standards.
  • Ensures accurate and proper coding of expenditure on all primary documentation.
  • Reviews and spot checks the asset / inventory registers.
  • Translation from nepali to English all the documents
  • Effective Logistics supports to the regular and occasional events
  • Line manage and support SpRC drivers for arranging effective travel plans based on the field requirement,
  • Assist SpRC delegation on procurement of daily required materials and services following standard practices and guidelines/policies
  • Performs other work related duties and responsibilities as may be assigned by the supervisor.
