Position Summary 

Repair & Maintenance Coordinator:-The Coordinator is responsible for the management of all regular maintenance activities in the organizational facilities including security, maintenance of mechanical and electrical services, life safety systems and other additional services to reduce the occurrence of workplace accidents and lengthen the lifespan of the property and equipment. The Coordinator will conduct maintenance and repair work on these assets, as well to keep accurate records of all maintenance activities & overseeing maintenance efforts across the organization.

Kopila Valley Sewa Samaj is seeking for a qualified and enthusiastic person to maintain repair and maintenance activities at organization’s facilities. This role requires a desire to learn, and offers exciting growth opportunities. This is a full-time position and strong candidates will play a long term role in Kopila Valley, Surkhet Nepal.

Role and Description 

Maintenance Coordinator should have problem-solving and analytical skills to address challenges, to assess various properties, equipment and detect potential safety hazards. Skills in health & safety, including identification and reporting of hazards and minimizing risks are essential. Familiar with the CSP system, Solar plant & cooking equipment. He/She may also requires decision-making skills, critical thinking, time-management skills; maintenance experience in all aspects of property maintenance; should be familiar with building upkeep, structural issues, and grounds maintenance; budgeting skills; communication skills; multi-tasking skills; organizational and planning skills; leadership skills; ability to guide and motivate employees; have good physical condition & flexible scheduling.

Other Qualifications

  • Strong knowledge of engineering concepts, including electrical, carpentry & mechanical. 
  • The candidate specially working the field of R&M of building, electrical, plumbing is valued.
  • Experience with Solar Energy, waste water treatment/Management, recycling and reusing.

The contract will be open-ended, renewed annually, 3 months’ probation period in the beginning.

Major Duties & Responsibilities

  • Ensure cost effective maintenance services to Kopila’s properties and make every effort to minimise wastage.
  • Manage the overall services provided within the facility and ensure that PPE is properly deployed
  • Responsible to repair machinery, equipment and building systems.
  • Coordinator should care for Concentrated Solar Power (CSP) System, Plant Solar, & cooking equipment. 
  • Maintenance Coordinator typically have a duty to keep records of equipment manuals and user guides, as well as maintenance practices and repair work done on all facilities and equipment.
  • When organizations want to undertake certain projects, such as installation of new pipe systems in a building, they often ask their supervisor for advice. In this role, maintenance Coordinator uses their practical experience to estimate project costs and recommend the quality of materials. 
  • Maintenance Coordinator will work in residential buildings also provides technical advice to tenants.
  • Developing maintenance schedule, procedures and ensuring implementation.
  • Carrying out inspections of the facilities to identify and resolve the probable issues.
  • He/She will ensure the company facilities are well-cared for and adequate to support the official business.
  • Schedule, train, supervise and motivate employees for the maintenance department
  • Implement safety policies and procedures for the department
  • Identify areas for improvement and assign workers to take care of issues
  • Develop maintenance schedules and enforce them among maintenance staff 
  • Respond to emergency calls for maintenance
  • Communicate plans for upper level improvements to maintenance worker staff
  • Contact and schedule repairmen and extra help as needed
  • Use best business practices to manage and reduce operation costs
  • Ensure that all plant and systems are in a constant state of readiness
  • Ensure that all PPM activities are managed in accordance with the agreed specifications
  • Ensure the organization has a healthy stock of critical spares and a plan is in place if immediate, critical repairs
  • Team management, supervises the co-worker, and support in administrative process. 
  • Undertake administrative tasks such as timely reporting for facility owners, annual budgeting and Effective communication. Keep accurate records of all service contracts, etc. and dates of all inspections.
  • Proper record keeping of stock materials and loan book. Control the inventory & place orders when necessary.
  • Control and monitor agreed Facilities related budgets
  • Compare costs for various services and goods before choosing the best options for the facility
  • Carry out routine repairs and monitoring on all systems and advise on any potential problems.  
  • Manage the maintenance of the building and ground by performing repairs or contracting maintenance services as needed and ensure they are safe.
  • Keep gutters and drainage points clear of leaves and debris. Repair fixtures and fittings where possible or get the right person do the job when necessary.
  • Carry out any maintenance work with the minimum disturbance to the school and/or residents.
  • Track building upkeep as well as anticipated long- and short-term improvements and maintenance.
  • Ensure the security of the buildings by researching and implementing various security measures, such as surveillance cameras or security staff members
  • Respond to emergency situations or other urgent issues involving the facility.
  • Order all materials regarding maintenance and check all deliveries against the orders.
  • Ensure tools and equipment are adequately maintained and stored in a place of safety, secured from access by unauthorised persons.
  • Attend meetings and trainings especially on health & safety and fire prevention as required.
  • Assist and share knowledge and experience with colleagues as required.
  • Proper mobilization to all construction/ maintenance co-workers & allocate workload & supervise upkeep staff.
  • Manage relationships with contractors, service providers & keep maintenance logs & report on daily activities
  • Coach, evaluate, appraise, mentor and monitor all staff under you.
  • Undertake any other duties delegated by Organization.
