SEALED QUOTATION NOTICE (Second Call)

Procurement of School Library Books.

Notice Publication Date: 15th July 2026. 

Quotation Submission Deadline: 24th July 2026, up to 5:00 PM 

Project: Learn to Lead Nurturing Young Minds in Mugu-Project. (NPL-1121-25)

Delivery Location: Chhayanath Rara Municipality Gamgadhi, Mugu and Khatyad Field Office, Mugu.

Karnali Community Development Centre (KCDC), under the EMPOWER Project being implemented in Khatyad Rural Municipality, Mugu, invites quotations from eligible, registered and qualified vendors/suppliers for the supply and Supply and Delivery of School Library Books, Wooden Materials, Sports Materials, WASH Materials, Musical Instruments, and Eco Club Renovation and Establishment Works. Interested vendors/suppliers are requested to submit their quotations as per the prescribed RFQ Excel format provided by KCDC. The quotation must include all applicable taxes, transportation costs, loading/unloading charges, delivery charges and any other related costs up to the delivery location, unless otherwise clearly mentioned. 

The procurement is divided into the following packages:

• Package 1: Eco Club Renovation and Establishment Materials (including WASH Materials, Sports Materials, and Musical Instruments)
• Package 2: School Library Books
• Package 3: Wooden Materials for School Libraries and Eco Club Renovation

Submission Procedure:

• The completed RFQ Excel sheet and required supporting documents must be submitted via sealed envelope directly to the KCDC Office, Gamgadhi, Mugu or via email to: procurementkcdc@gmail.com  
• The RFQ Excel sheet must be submitted in password-protected mode. Vendors/suppliers must not mention the password in the same email. The password shall be provided separately only upon request by KCDC during the quotation opening or verification process.

Documents to be Submitted 

Vendors/suppliers are requested to submit the following documents: 

1. Completed RFQ Excel sheet in password-protected format (If applying via email)
2. Firm/company registration certificate 
3. PAN/VAT registration certificate 
4. Latest tax clearance certificate (Mandatory of FY 2081/82)
5. Signed and stamped Supplier Declaration Form 
6. Any relevant documents related to product quality, brand/model, warranty/guarantee, delivery period and payment terms, if applicable 
7. Contact number of suppliers with contact person’s name 

General Terms and Conditions 

1. Quotations must be submitted within the stated deadline. Late submissions shall not be considered. 
2. The quoted rates must be valid for 1 month from the date of publication of this notice. 
3. The vendor/supplier must clearly mention the offered brand/model, unit rate, applicable tax, transportation or other charges and total amount in the RFQ Excel sheet. 
4. All supplied items must meet the required technical specifications and quality standards mentioned in the RFQ document. 
5. The selected vendor/supplier shall be responsible for delivery of the materials to Chhayanath Rara Municipality 1, Gamgadhi, Mugu and Khatyad Field Office, Mugu in their own cost.
6. Incomplete, unsigned, unstamped or improperly submitted quotations may be rejected. 
7. KCDC reserves the right to accept or reject any or all quotations, either fully or partially, without assigning any reason. 
8. The lowest quoted price alone shall not necessarily be the basis for selection. Quality, specification compliance, delivery period, supplier eligibility and completeness of documents shall also be considered. 
9. Bidder Must disclose discount % of printed price (not expected normal retail discount %).

Note: Both VAT-registered and PAN-registered firms/institutions are eligible to participate in the Package 2: School Library Books quotation process and may submit their quotations.
