Job Title: Office Manager Center Background: The Center for Reproductive Rights (CRR) is a non-profit legal advocacy organization dedicated to promoting women's equality worldwide by guaranteeing reproductive rights as human rights. Reproductive rights, the foundation for women's self-determination over their bodies and sexual lives, are critical to all women's ability to achieve their full potential. We believe laws and policies that protect and advance these rights are essential. They must allow women the freedom to decide whether and when to have children. They must respect women's ability to exercise their reproductive choices without coercion. They must also secure women's access to basic health services, including contraception, abortion, education and safe pregnancy care. Ultimately, reproductive rights are imperative to ensuring justice for all members of society -- women, children, and their families. This position will report to, and be supervised by the Manager of the Asia Regional Office and will be based in Kathmandu . Responsibilities include: • Supporting the management of the Center’s regional office in Kathmandu, which includes assisting with the processing of forms and contracts both locally and in cooperation with the Center’s headquarters office in New York, performing administrative tasks, facilitating the execution of contracts and the processing of invoices, and managing the office’s inventory. • Providing administrative support to regional program staff. This includes research, word processing, setting up and maintaining files, scheduling meetings, maintaining a database of regional contacts, making copies, scanning files, sending mail and packages, and processing reimbursement/check requests and wire transfer requests. • Establishing/maintaining relationships with local vendors and consultants, including opening accounts with and coordinating payments. • Serving as the liaison with the Finance and Administration departments in New York; preparing monthly financial reports for the regional office, preparing monthly cash flow forecasts based on anticipated spending, monitoring office spending to ensure that expenses are in line with budget allocations, reconciling bank account(s) and travel advances, organizing, scanning and submitting receipts and backup documentation, reconciling the office petty cash account. Facilitating and assisting with local statutory compliance requirements, including an annual audit, tax filings, etc., as required by the Social Welfare Council. • Assisting with travel arrangements for regional office staff, including booking flight and hotel reservations, researching visa requirements and obtaining visas. • Communicating with the IT department in New York regarding IT issues and/or equipment purchases and requests, overseeing a local IT consultant and coordinating with the Network Administrator in New York. • Liaising with local and regional partners: drafting letters of agreement, coordinating payments • Assisting with event/workshop organization and logistics for the launch of the Asia office and other events • Assist with office set up which could include identification of office space and other related matters • Coordinating day-to-day logistics of local office, including working with a local consultant to ensure that the office remains in compliance with applicable national regulations. Qualifications, experience and competencies: • B.A. degree or foreign equivalent • 3-4 years’ experience in an administrative/financial management position (preferably with an INGO) • Experience liaising with local government ministries, including the Social Welfare Council, regarding office registration, reporting requirements, and annual statutory compliance • Good knowledge of office procedures, financial and administrative concepts and practices • Fluency in Nepali and English (speaking, reading, writing) • Fluency in the use of MS Office Suite applications (Microsoft Word, Excel, Outlook and SharePoint) and the internet • Willingness to take initiative in managing/balancing the needs of the local office with those of headquarters • Ability to balance multiple tasks and coordinate with different organizational departments working in different time zones • Excellent writing and research skills • Event planning experience • Positive attitude and the ability to work under tight deadlines • Commitment to reproductive rights and women’s human rights issues The position is full-time, beginning in May 2012 .
