Introduction:
Medical Centre Assistant (MCA) is responsible for pharmacy management. The secondary role involves Hospital Liaison, Healthcare Governance role, Routine Care, Equipment Care (EC) management.

Job description:
Pharmacy:
- Medicine Management lead is SMO and day to day task delegated to MCA British Gurkhas Pokhara (BGP)
- Responsible for Dispensary and Medicine Management under the SMO BGN for BGP.
- Responsible for Management of Controlled Drugs under the SMO BGN for BGP.
- Act as nominated deputy and second key holder for the SMO in the management of Controlled and Accountable Drugs, including ensuring that routine checks are completed.
- Stock ordering lead for BGP- Responsible for the management of medical stores including medicines, vaccines, Personal Protective Equipment (PPE) for BGP including pharmacy using ECAT system
- Update Medicine Demand Register as required.
- Dispense medicines and advise patients about their medications.
- Conduct stock query on KOMODO and liaise with Team Leidos UK when necessary.
- Liaise with Senior Medical Centre Assistant (SMCA) BGK or with Quartermaster (QM), Movement Control Centre (MCC) and Mechanical Transport (MT) Office in SMCA’s absence, to investigate receipt of demand of and British Gurkhas Kathmandu (BGK) British Gurkhas Pokhara (BGP).
- Liaise with Regional Pharmacist in the UK or DPHC Pharmacist as required
- Coordinate for quarterly and annual CD return and monthly medicines return including monthly wastage of medicine return to the Regional Pharmacist.
- Prepare and submit discrepancy report to DPHC (O), as required.
- Coordinate with SMCA BGK regarding pharmacy matter.
- Keep record of local purchase of Medicines as required and maintain unlicensed medicine register.
- Manage pharmaceuticals in DPHC (O) Medical Module run monthly module check & update the spreadsheet.
- Ensure Golden Hour Boxes (GHBs) are returned from BGP to BGK and maintain GHB register.
- Responsible to manage and account Medicines and Drugs during Out of Hours in accordance with Cold Chain Storage policy.
- Responsible to record and update all CAS/Device alerts, inform all clinician and act if necessary.
- Maintain and update local working policies as and when required under the direction of Regional Pharmacist.
- Act in accordance with DPHC (O) Pharmacy and Medicine Management Standard Operating Procedure (SOP).
Hospital Liaison
- Escort patients to out-patient appointments when required during working hours.
- Liaise with local hospitals as a Hospital Liaison Officer (HLO) for the patient`s secondary care treatment.
- Organise familiarisation visits to local hospitals for SMO, Senior Nursing Officer (SNO) and Visitors as required.
- Maintain good public relation and reputation with BGN authorised local hospitals to ensure better and hassle-free services to BGN entitled personnel.
- Attend annual BGN management lunch programme & host the local dignitaries from local hospitals.
- Provide information and leaflet to Mil and CS on services provided by updating and maintaining HLO/SHC leaflets.
- Liaise with HLO BGK as required.
Healthcare Governance (HcG):
- To collate mandatory statistics and carry out audits as per DPHC(O) Audit calendar.
- Participate in Practice, HCG meetings and regional meetings.
- Report accidents in the medical centre in accordance with MOD policy.
- Report Safeguarding concerns immediately to the SMO or PM.
- Raise Significant Events with the SMO or PM and record on the ASER system.
- Input to and utilise the Healthcare Assurance Framework as a HcG support tool
- Complete all mandatory training as stipulated by DPHC (O) and Cyber &Specialist Operations Command (CSOC).
- Participate in Continuing Professional Development in accordance with personal learning goals and requirements.
- Assist Practice Nurse BGP for the management of clinical waste as required.
Routine Care:
- Chaperone/translation assistance to the SMO and SNO in medical centre.
- Ensure that data entered into patients’ records are contemporaneous, accurate, legible, concise and coherent.
- Maintain confidentiality and direct complaints to PM or SMO in accordance with DPHC policy.
Equipment Care:
- Coordinate for monthly snap and quarterly managerial check for all equipment and update in Equipment Care Register in BGP medical centre.
- Ensure serviceability of the equipment in DPHC (O) medical modules.
- Liaise with Senior Recruiting Medical Administrator (SRMA) in managing and resupply of Recruiting Medical modules.
- Maintain daily, weekly & monthly E373 of Pharmacy room as well as other areas as required.
- Liaise with PM/ Medical Dental Servicing Section (MDSS) team and prepare for annual equipment inspection and calibration.
- Ability to adapt to the changes in the EC role and responsibilities.
Accountability:
- Responsible to SMO as line manager.
- Assist with routine clerical administrative duties in absence of Deputy Practice Manager (DPM) as per Business Continuity Plan
- To recognise the limitations of their own experience, seeking advice and referring to others when appropriate.
- Undertake regular performance reviews and annual appraisals. Within these recognise the need for on-going education and training and accept responsibility for undergoing relevant courses in discussion with the SMO.
- Responsible to declare Conflict of Interest particularly around Local Procurement of Medicines/materiel.
Confidentiality:
- To maintain confidentiality of information relating to patients, client’s staff in accordance with General Dara Protection Regulation (GDPR).
- Any breach of confidentiality may render an individual liable for dismissal and/or prosecution.
Miscellaneous:
- Responsible to support in Casualty Clearing Station during the event of a major medical incident under the direction of Registered Nurse and the SNO.
- Assist DPM/Billing Clerk regarding medical bill clarification i.e. Verify pharmaceutical product and names, avoid fraud when and where medical bills are not clear or unentitled items are purchased.
- To undertake any other duties commensurate with the role and within bounds of competence.

Work Experience:
- Minimum 2 year of work experience in related medical field
Qualification:
- Academic – Minimum Secondary Education (SLC/SEE)
- Technical (Compulsory)
- Buttercups training or
- NVQ Level 2 Pharmacy Assistant Course accredited by General Pharmaceutical Council or
- Diploma in Pharmacy (PCL Level) and registered in Nepal Pharmacy Council as Assistant Pharmacist.
- Desirable
- Pharmacy training NVQ Level 3 underlying skills and knowledge
- Health Assistant accredited from Nepal Health Professional Council
- Ability – Proficient in IT literacy, including the use of MS Office Applications
- English – Medium level of Written and Spoken
- Nepali – Medium level of Written and Spoken
