VACANCY ANNOUNCEMENT
Group of Helping Hands (SAHAS) Nepal
Group of Helping Hands (SAHAS) Nepal is a non-profit, non-governmental organization established in 1996. Since its establishment, SAHAS Nepal has been working with vulnerable and socially excluded communities through social mobilization, grassroots organization building, Community-Based Network Organization (CBNO) formation and capacity development. SAHAS Nepal implements diverse programmes and projects in sustainable agriculture and food security, climate change, education, and related areas across 21 districts of Nepal.
SAHAS Nepal will implement a scholarship project titled “Bridging Futures: Education Access Initiative.” The project aims to support academically qualified young people and civil society actors from disadvantaged and marginalized groups to access higher education, develop their leadership capacities, and contribute to socio-ecological change and sustainable development in their communities and Nepal.
SAHAS Nepal invites applications from energetic, committed, competent, and creative Nepali citizens for the following positions.
1. Scholarship Coordinator
Required Number: 1
Duty Station: Kathmandu, with approximately 60% travel to project locations
Academic Qualification and Experience
- Master's degree in Education, Social Science, Development Studies, Management, or another relevant discipline.
- Minimum 3 years of relevant professional experience, preferably in education, scholarship management, youth development, social inclusion, or development projects.
- Demonstrated experience in project planning, implementation, monitoring, budgeting, reporting, and team coordination.
- Good understanding of Nepal's higher education system, education policies, scholarship mechanisms, and relevant government regulations.
- Strong networking and coordination skills with universities, colleges, government agencies, development partners, and other education stakeholders.
- Excellent written and verbal communication, facilitation, negotiation, and interpersonal skills in both Nepali and English.
- Strong leadership and team management skills, with the ability to motivate team members and work effectively with diverse stakeholders.
- Strong computer skills, including MS Office applications; knowledge of project management and reporting systems will be an advantage.
- Willingness and ability to travel frequently to project locations.
Key Responsibilities
Project Leadership and Implementation
- Lead overall implementation of the scholarship project in accordance with project objectives, approved plans, policies, and donor requirements.
- Develop and regularly update annual, quarterly, and monthly implementation plans.
- Provide technical and managerial guidance to project team members.
Scholarship Management
- Lead and oversee the scholarship application, screening, selection, award, and renewal processes in a transparent, inclusive, and accountable manner.
- Ensure that scholarship implementation complies with approved criteria, project guidelines, and applicable policies.
- Maintain regular communication with scholars and ensure they understand programme rules, responsibilities, academic requirements, and reporting obligations.
Coordination and Networking
- Establish and maintain effective coordination with universities, colleges, academic institutions, finance departments, teachers, government authorities, and other relevant stakeholders.
- Liaise with universities and colleges to verify student enrolment, academic progress, fee requirements, and other relevant information.
- Explore opportunities for institutional collaboration and resource sharing to maximize benefits for scholars.
Financial and Administrative Management
- Monitor project expenditure against approved budgets and ensure compliance with SAHAS Nepal and donor financial requirements.
- Contribute to budget revisions, financial forecasting, and preparation of financial and narrative reports.
Monitoring, Reporting and Learning
- Track project progress against agreed targets and indicators.
- Conduct regular field visits to monitor programme effectiveness and identify challenges and areas for improvement.
- Prepare timely project reports documenting project achievements, good practices, lessons learned, success stories, and challenges.
2. Admin and Finance Officer
Required Number: 1
Duty Station: Kathmandu, with approximately 40% travel outside the Kathmandu Valley
Academic Qualification and Experience
- Bachelor’s degree in Finance, Accounting, Business Administration, Management, or a related field.
- Minimum 2 years of relevant professional experience, preferably with NGOs/INGOs, development projects scholarship management.
- Good knowledge of financial accounting, budgeting, procurement, and administrative systems.
- Strong working knowledge of MS Excel and other MS Office applications.
- Experience with Money-Works or similar accounting software will be an advantage.
- Knowledge of donor financial requirements, taxation, Social Security Fund (SSF), audit procedures, and NGO financial compliance will be an advantage.
- Good organizational, communication, documentation, and record-keeping skills.
- Willingness to travel outside the Kathmandu Valley is required.
Key Responsibilities
Financial Management
- Process and maintain accurate records of tuition payments, scholarships, stipends, allowances, and other payments to scholars and institutions.
- Maintain proper financial documentation and supporting documents for all project transactions.
- Monitor project expenditure against approved budgets and provide regular budget updates.
- Assist in preparing financial reports in accordance with SAHAS Nepal and funding partner requirements.
- Ensure compliance with organizational financial policies, donor requirements, applicable tax regulations, and audit requirements.
Administration and Procurement
- Manage procurement of project supplies, equipment, and services in accordance with organizational procedures.
- Support Scholarship Coordinator in managing logistics during the events and training programs.
- Maintain organized physical and digital administrative filing systems.
- Maintain project asset and stock records and ensure proper safeguarding and utilization of project assets.
Human Resource and Compliance Support
- Support timely processing of staff salaries and benefits.
- Assist with internal and external audits by maintaining complete and accessible financial and administrative documentation.
3. Student Support and Scholarship Outreach Facilitator
Required Number: 1
Duty Station: Field
Academic Qualification and Experience
- Bachelor's degree in Education, Social Science, Development Studies, Counselling, or another relevant discipline.
- Minimum 1 year of relevant professional experience, preferably in education, youth development, scholarship programmes, counselling, or social development.
- Experience in academic counselling, mentoring, youth engagement, community outreach, or student support will be an advantage.
- Good understanding of Nepal's education system, higher education opportunities, and relevant policies.
- Ability to work with students and young people from diverse and disadvantaged backgrounds.
- Good computer and documentation skills in both Nepali and English.
- Willingness to travel to schools, communities, colleges, and other project locations.
- Strong communication, interpersonal, facilitation, mentoring, and networking skills.
Key Responsibilities
Student Support and Mentorship
- Provide scholars with academic advising, career guidance, mentorship, and regular well-being check-ins.
- Monitor scholars' academic progress and identify students who may require additional support.
- Act as the first point of support when a scholar faces academic, personal, financial, or other challenges that may affect their participation or scholarship eligibility.
- Maintain appropriate and confidential records of student support and follow-up.
Scholarship Outreach and Recruitment
- Visit schools, colleges, universities, communities, and other relevant locations to identify and reach potential applicants.
- Support dissemination of scholarship calls, eligibility criteria, application procedures, and deadlines.
Capacity Building and Networking
- Develop and maintain networks with schools, colleges, universities, youth groups, community organizations, and other relevant stakeholders.
- Encourage scholars to participate in learning, leadership, community engagement, and professional development opportunities.
Monitoring and Documentation
- Maintain updated records of scholar participation, academic progress, support provided, and follow-up actions.
- Contribute to project monitoring, success stories, case studies, and periodic reports.
- Provide regular feedback to the Scholarship Coordinator on student needs, emerging challenges, and opportunities for improvement.
Salary and Benefits
Salary and benefits will be provided as per the rules and regulations of SAHAS Nepal and based on the qualifications and experience of the selected candidate.
